It is operational ownership.You will operate as a department of one while partnering directly with leadership to ensure our people, payroll, vendors, billing, compliance, and reporting functions run cleanly, efficiently, and predictably.The Role:This position blends:People OperationsCompliance & Payroll AdministrationVendor & Financial CoordinationOperational Systems ManagementYou will be responsible for execution and for improving how execution happens.Recruiting is not a primary responsibility, though occasional coordination may be required.Core Responsibilities:1. People Operations & Employee LifecycleOwn onboarding and offboarding processes for U.S.-based employees and consultantsMaintain accurate employee records and documentationManage job changes, compensation updates, and status changesServe as first point of contact for HR-related questionsEnsure smooth, compliant employee lifecycle management2. HR Compliance & GovernanceMaintain compliant personnel files and documentationEnsure adherence to federal, state, and multi-state U.S. labor lawsSupport audits and regulatory reportingAssist with handbook updates and policy rolloutsMonitor emerging compliance requirements (leave laws, classification changes, etc.)3. Payroll, Benefits & Vendor CoordinationPrepare and validate payroll inputs with payroll providerAdminister benefits enrollment and changesLiaise with payroll vendors, workers’ compensation providers, insurance brokers, and retirement administratorsSupport worker’s comp audits and required filingsEnsure accuracy and timeliness in all payroll-related processes4. Financial Operations SupportSupport Accounts Payable and Accounts Receivable processesManage client invoicing cycles (weekly, bi-weekly, monthly)Track payments and assist with reconciliationCoordinate with bookkeeping support and CPA as needed5. Business Operations & Vendor ManagementManage vendor onboarding, renewals, contracts, and documentationMaintain organized records of insurance, contracts, and compliance documentsAct as operational liaison for business service providersEnsure no critical deadlines or renewals lapse6. Process Optimization & Systems Leverage (Critical)We are not looking for manual processors.We are looking for an operator who:Identifies repetitive manual processes and simplifies or automates themUses modern tools (including AI tools) to increase speed and accuracyImproves documentation clarity and repeatabilityBuilds simple dashboards or tracking systems to improve visibilityReduces friction before it becomes failureExamples:Using AI tools to draft policy updates or summarize regulatory guidanceCreating workflow checklists that reduce onboarding errorsImproving payroll validation through structured review templatesDesigning lightweight dashboards that flag risks before deadlines are missedThis is not a technical role — but it requires strong systems fluency and resourcefulness.Qualifications:7–12 years of experience in People Operations, HR, Office Management, or Business OperationsExperience operating autonomously as a department of oneStrong working knowledge of U.S. HR processes and labor lawsExperience supporting U.S. payroll and vendor coordinationWorking knowledge of Accounts Payable, Accounts Receivable, and invoicing processesStrong documentation discipline and attention to detailHigh discretion and trustworthinessClear, direct communicatorRequired Mindset:Ownership-orientedStructured and methodicalCalm under pressureProactive in preventing problemsComfortable leveraging AI and modern tools to multiply outputWe value operators who use technology to increase their effectiveness — not for hype, but for leverage.Must-Haves:Experience supporting a U.S.-based staffing or consulting companyDirect exposure to U.S. payroll and compliance processesDemonstrated ability to improve operational efficiencyProven ability to manage business administration processes independentlyNice-to-Haves:HR Certification (PHR, SHRM-CP, etc.)Lean / Six Sigma exposureExperience building dashboards or operational reporting viewsWhy This Role Matters:True ownership across People Operations and Business OperationsDirect partnership with leadershipOpportunity to design systems that scaleRemote-first, high-trust environmentHigh-impact, non-political role
