Our work spans engineering, manufacturing, procurement, strategic partnerships, and investor relations.The Strategic Program Manager and the Technical Program Manager serve as the operational and strategic hub for the organization, working directly with the Founder to drive execution across all functions. They are looking for a Project Coordinator to serve as their operational backbone, ensuring that every task is captured, every deadline is tracked, every follow up happens, and nothing falls through the cracks.This is not a passive, observe and learn internship. You will be embedded in the nerve centre of a defense tech company, working directly with the leadership team across two entities. Your job is to enable the leadership to focus on high impact, high criticality work by owning the entire operational tracking and execution support function.What you will do:Task Capture and Tracking:Receive short, structured voice notes and text messages from both Program Managers throughout the day via WhatsAppExtract action items and log them into a Master Task Tracker with priority, assignee, deadline, and statusMaintain separate task views for each Program ManagerAcknowledge every incoming message by reacting to it so the sender knows it has been capturedIdentify implied action items from conversations, not just explicitly stated tasksFollow Ups Across FunctionsFollow up daily with team members across engineering, procurement, HR, finance, manufacturing, and other functions on assigned tasksUse WhatsApp, email, and phone calls to get status updatesEscalate nonresponses, missed deadlines, or deprioritized tasks to the Program Managers immediatelyYou will be introduced to each team member personally by the Strategic Program Manager before your first interaction with them. Your follow ups carry leadership authority.Daily Reporting & Reconciliation:Join a structured morning call and evening call daily with both Program ManagersSend a midday status update covering critical items onlyReconcile every task at end of day: mark completed, update pending, flag overduePrepare and send a structured next day task list via WhatsApp by 6:30 PM every eveningSend ad hoc nudges for critical tasks approaching their deadline during the dayDocument & Communication Support:Draft documents, presentations, spreadsheets, emails, and WhatsApp messages for reviewUse AI tools (Claude, ChatGPT) to work faster and produce cleaner outputsExpense Management:Receive bill photographs and payment screenshots via WhatsApp from both Program ManagersLog all expenses (travel, meals, office supplies, vendor payments) into a structured expense tracker covering UPI and card transactionsPrepare and submit reimbursement claims to the finance team per submissionEnsure zero lost or unaccounted billsOffice Administration:Work alongside the HR department to ensure smooth daily operations at the corporate officeMonitor housekeeping, pantry, IT, electrical, printers, couriers, and general upkeepFlag anything out of the ordinary before it becomes a problemHandle personal administrative tasks for the Program Managers including travel bookings and appointmentsWhat Makes This Role Different:This is not just a task tracking role.
