About the RoleWe are looking for a highly capable Family Office General Managerto run the day-to-day operations of a family office supporting a family with two businesses. This role is for someone who enjoysbuilding structure , running clean processes, and ensuring life admin, staff coordination, documentation, and recurring responsibilities are handled proactively.You will be the central coordinator who keeps things moving smoothly, reduces the leadership’s time spent on operational follow-ups, and ensures the family’s administrative ecosystem runs like a well-managed organization.Key Responsibilities1) Family Operations & AdministrationOversee end-to-end family administration and day-to-day coordination Manage schedules, appointments, travel planning (as needed), and reminders Ensure recurring tasks and commitments are tracked and completed on time Coordinate with vendors/service providers and ensure timely resolution of issues2) Financial Hygiene (Household / Family)Manage routine payments: utilities, staff payouts, vendor bills, subscriptions, maintenance costs Maintain petty cash / imprest with proper logs and receipts Reconcile designated family operational accounts and flag anomalies Prepare a simple monthly spend and cashflow summary for leadership review3) Documentation, Renewals & Compliance TrackingMaintain a clean and well-organized document vault (digital + physical) Track renewals and expiries (insurance, vehicle documents, AMCs, subscriptions, etc.) Coordinate with external professionals (CA, insurance agent, legal counsel, etc.) as needed Ensure deadlines, paperwork, and follow-ups are completed on time4) Staff & Facilities ManagementManage household staff operations: attendance, rosters, duties, replacements Coordinate drivers, office support staff, and facility vendors across locations where needed Maintain service standards, checklists, and basic performance hygiene Support hiring, onboarding, and background verification for staff/vendors5) Health & Wellness LogisticsCoordinate routine health check-ups, appointments, tests, and follow-ups Ensure medical records and key information are filed and easy to retrieve Maintain an updated list of preferred hospitals/doctors and emergency contacts6) Events & Hosting SupportCoordinate logistics for family events and hosting requirements Manage vendors, budgets, schedules, and execution support as needed7) Reporting & EscalationProvide weekly updates on open items, upcoming renewals, and priorities Escalate exceptions proactively (financial thresholds, urgent issues, time-sensitive matters) Bring solutions, not just problems—3 options + recommendation where relevantWhat This Role Is NotNot an investment/portfolio management role Not a finance team replacement for the companies Not a personal assistant role focused on non-essential errands (though you will coordinate getting important work done through staff/vendors)Who You AreHighly organized and process-driven; you naturally build checklists and trackers Strong follow-up and coordination skills; you can get things done without constant supervision Comfortable managing staff and vendors with professionalism and firmness Discreet, trustworthy, and able to handle sensitive information Calm under pressure and able to prioritize well Tech-comfortable (Google Workspace / Excel / task tools)Experience & Profile5–12 years experience in operations/admin roles (family office, estate management, hospitality operations, founder’s office, facilities/admin head, executive administration, etc.) Age preference: ~35–45 (not mandatory if the profile is strong) Strong written and verbal communication Background verification will be required
