Location - Pune Job Description- searching for an experienced, reliable, detail-oriented Administrative Assistant to be part of our Fintech team in Pune. The Administrative Assistant will help the Director of Engineering for the team based in the US and the team based in Pune, and will do many administrative tasks to support the team and site. The ideal candidate is self-motivated, professional, and capable of managing their workload as well as their executive’s calendars and prioritizing tasks in a fast-paced environment. Responsibilities Manage executive and senior manager's calendar(s), travel, meetings, and daily schedules. Partner across organizational boundaries to deliver outcomes with other EABPs and business partners Plan, organize, and execute team activities (staff meetings, all-hands meetings, offsite meetings, and team social events) Schedule cost-effective air/hotel/ground transportation. Create detailed travel itineraries both domestic and international (including smooth transitions between time zones). Coordinate with in-house travel agents and manage international travel process. Submit expense reports in a timely fashion Interact cross-functionally with departments, employees, vendors or customers in need of meeting with department leaders. Provide timely response to emails, voice-mails, and written correspondence on behalf of the manager. Ability to tame organized chaos while remaining calm and composed Possess a high degree of initiative to take independent action and be able to always exercise proper judgment Be trustworthy and able to exhibit a high degree of confidentiality and integrity Understand the business priorities and identify process improvements to create efficiency and scale for the directors and their leadership teams Be the "eyes and ears" of the organization and be sensitive to the needs of employees Managing and reconciling expense reports on behalf of the leaders Help ensure a high level of service and accuracy in answering questions for employees and vendors. Maintain organizational charts, email distribution lists and/or create accurate databases to track departmental information. Have a keen understanding of the organization – the vision, business direction, and mission Be approachable and eager to provide counsel and direction to team members/peers Takes initiative on researching, implementing, and improving systems and processes Keep and improve internal processes that help important programs. Coordinate internal and external resources to speed up work. Manage communication with employees by liaising with internal and external executives on various projects and tasks Maintain organizational charts, email distribution lists and/or create and track team information. Logistics management and co-ordination at the site for any site wide activities and engagement - town halls, festivals, team offsites, or CSR activities Plan and orchestrate work to help ensure that priorities are met, organizational goals are achieved, and best practices are upheld Interact cross-functionally with departments, employees, vendors or customers in service of experience for an event and leadership visit Support air/hotel/ground transportation arrangement at the site during leadership visits. Provide local support and guidance as needed to plan the experience Collaborate with designers and developers to align written content with the brand. Working with multiple stakeholders across teams to write and sharpen the end-to-end messaging. Play an integral role in creating informative and engaging materials that resonate with key stakeholders and communities. Write engaging emails, Slack messages and internal blogs. Have fun at work and help others do the same Required Skills : Qualifications Minimum of 5 years working as an administrative assistant, preferably supporting senior staff members Ability to exercise discretion and handle highly confidential information with 100% integrity. Self-starter who can operate independently and move quickly from one task to another; creative problem solver, seeks "win-win" solutions; energized by challenges Anticipatory—must be able to plan ahead and identify unforeseen needs Adaptability— Embrace change and pivot when changes arise Perseverance—ability to see things through completion regardless of obstacles Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast-paced environment Excellent verbal and written communication skills including the ability to communicate with all levels of the organization Cultural steward—Brings an element of fun and caring to the workplace Strong familiarity with technology preferred Proficient in a suite of standard office software and operation of office equipment. Fundamental project management experience, including development of basic project plans and successful execution. Advanced Outlook calendar management is critical Ability to format high level presentations and applications like sheets and excel Organizational skills. Event planning to include support for large meetings, off-sites and team motivation events. Demonstrated problem solving skills.
