Role Context This role exists to protect, simplify, and amplify the day-to-day life of Client's Co-Founder & COO. This is not a traditional Executive Assistant role, and this role is designed for someone who thrives on: • Owning personal and professional life administration • Being a single point of orchestration for day-to-day execution • Operating with absolute discretion, judgment, and reliability • Reducing friction so the COO can stay focused on scaling the business • Calendar management exists, but it is not the center of gravity Key Responsibilities 1. Personal & Life Administration • Manage personal errands, appointments, and commitments (medical, banking, documentation, renewals, etc.) • Handle personal travel planning (itineraries, bookings, changes, follow-ups) • Track important dates, reminders, and obligations (personal & family-related) • Coordinate household-related tasks, vendors, and services as required • Act as a trusted executor for sensitive, time-critical personal matters Think: You make things disappear before they become problems 2. Professional Support & Day-to-Day Enablement • Be the COO’s right hand for execution, not strategy • Manage follow-ups, reminders, and action tracking from meetings or discussions • Prepare basic briefs, summaries, notes, or reference material when needed • Coordinate selectively with internal teams for information, documents, or closures • Ensure key documents, files, and information are organized and easily accessible 3. Scheduling & Coordination • Manage critical business and personal calendar coordination • Screen requests and help prioritize time based on urgency and importance • Coordinate logistics for meetings, travel, or internal/external engagements • Act as a buffer to reduce unnecessary noise and interruptions 4.
