Join our team and embark on a career that truly matters!Job Summary Vir Innovations is looking for an enthusiastic and proactive HR candidate who can support in overall business operations by managing day-to-day tasks & administrative needs with functions such as, cooperate with different departments for project management, support in HR activities such as talent acquisition & retention, administration and improve processes, procedures and policies of the organization. Candidates with knowledge or understanding of operations within the Defence, Robotics, or Technology Development domain will be given preference. Ultimately, the HR – Operations – Administration Intern will coordinate across various departments to ensure smooth administrative, operational, and HR functioning of the organization.Responsibilities 1. Human Resource Management Support end-to-end recruitment process in coordination with concerned department heads, especially for technical and engineering positions. Assist in planning employee career growth, rewards & recognition, performance management, employee satisfaction, using KPIs, KRAs and OKRs. Update internal databases (e.g. attendance and leave management, employee records). Prepare and maintain HR documents such as offer letters, employment agreements & contracts, experience letters, and onboarding materials. Revise organisation policies and address employee-related queries. Performing additional relevant tasks as assigned by the management.2. Operations & Administration Performing administrative duties, including follow-up calls, scheduling appointments, arranging travel & accommodations and process expense forms. Document, organize and maintain organization database & personnel records. Support in designing and implementing new processes & procedures for efficient operations. Support in inventory management & organizational keep up. Liaise with stakeholders, including but not limited to vendors, clients, college placement officers, bank & insurance representatives and ensure compliance with legal and company regulations. Assist in basic accounting tasks such as bookkeeping and maintaining expenditure records.3. Project Coordination Ensure proper project documentation support and record keeping including but not limited to tender documentation, drafting emails & proposals, preparation of presentations, progress reports, quotations, generating purchase orders, invoices, delivery challans and other necessary documents. Act as a liaison between the in-house team, contractors, subcontractors, vendors, clients and other stakeholders. Support in executing procurement process starting from purchase requisition to receiving the material. Schedule, organize, and take minutes for project meetings. Ensure smooth communication and the flow of information within the project team. Support in tracking project progress against schedules and budgets, providing regular updates to the team. Support in setting up logistics & delivery of projects.Skills required Strong initiative, ownership, and ability to work independently. Excellent communication, interpersonal, and listening skills. Strategic and analytical thinking, with strong problem-solving ability. Networking and conflict management skills. Well versed (intermediate level) in Microsoft Office Suite (Word, Excel, PowerPoint) and understanding of HRMS & project management tools (e.g., Zoho, Asana, MS Project, ClickUp). Strong organizational and multitasking abilities.Desired candidate profile Knowledge & understanding of HR, operations, and administration within the Defence, Robotics, Engineering, or Technology Development sectors is highly desirable. Keen interest in business operations aligned with company objectives. Open-mindedness and eagerness to learn new tools, technologies, and processes. Ability to support operations and coordinate a team of 25+ employees. Strong analytical and decision-making skills. Ability to quickly learn and implement organization-specific tools and software. Proficiency in MS Office applications (Word, Excel, PowerPoint). Excellent organizational and prioritization skills. Strong written and verbal communication skills.
