ACANCY DETAIL Position: Admin (Sports for Change) Location: NOIDA, UTTAR PRADESHUnder the Sports for Change initiative of HCLFoundation, the assigned personnel will be responsible for carrying out the Administrator role for HCL Foundation’s day to day activities. The incumbent will be responsible for coordinating and implementation of various office related/ admin work. The incumbent will report to Sports for Change programme lead.Key Responsibilities Office & Facility Management Ensure smooth functioning of office infrastructure, housekeeping, stationery, and maintenance services. Oversee seating arrangements, space planning, and workplace safety compliance. Manage visitor access through the visitor management portal Vendor & Procurement Management Identify, onboard, and manage vendors for various services and supplies. Negotiate contracts and monitor service level agreements (SLAs). Organize venues and logistics for large events, meetings, and training programs. Coordinate food and other arrangements for events and employee programs. Responsible for end to end vendor onboarding/registration in system. Responsible for resolving any issue related to vendor. Travel & Event Coordination Manage travel arrangements for employees and guests, including children. Organize HCL Foundation events, workshops, and meetings. Provide on-ground support at event locations, including travel with participants. Assets Management Responsible for managing IT or Non IT assets of HCL Foundation.Compliance & Documentation Maintain accurate records of administrative expenses, contracts, and statutory compliance. Support internal audits and ensure adherence to company policies. Maintain vendor payment trackers and databases. Verification of vendor invoices including travel invoices such as cab, flights, train and hotel. Responsible for parking invoice entries online or offline in Ariba (SAP). Budgeting & Cost Control Prepare and monitor administrative budgets. Implement cost-saving initiatives without compromising service quality. Stakeholder Communication Act as a liaison between management, employees, and external service providers. Address queries and resolve issues promptly.Required Qualifications & Skills Education:Bachelor’s/master’s degree in business administration, operations or related field. Experience:3–5 years in office administration Skills: Strong organizational and multitasking abilities. Excellent communication and negotiation skills. Proficiency in MS Office and SAP systems.
