Job Description

Job PurposeThe Sales Coordinator plays a critical role in enabling the effectiveness of the sales function by providing comprehensive administrative, operational, and customer support. The role ensures seamless coordination between customers, sales, production, and internal stakeholders to drive efficient order execution, enhance customer satisfaction, and contribute to the achievement of revenue and business targets.Job ResponsibilitiesSales & Operations SupportProvide end-to-end administrative and operational support to the sales team to ensure smooth sales processes and timely execution of activities.Assist in preparing quotations, proposals, contracts, presentations, and sales reports.Maintain accurate records of customer data, orders, pricing, and sales documentation in internal systems.Order & Customer ManagementCoordinate order processing, order tracking, and delivery schedules to ensure on-time fulfillment.Act as the first point of contact for customer inquiries related to orders, deliveries, documentation, and service issues.Proactively communicate order status, changes, or delays to customers and internal stakeholders.Build strong relationships with customers to enhance satisfaction and service experience.Cross-Functional CoordinationLiaise closely with production/plant teams to align production schedules with customer requirements.Coordinate with logistics, finance, and marketing teams to ensure timely dispatch, billing, and campaign support.Support resolution of operational issues by collaborating across departments.Financial & Documentation ControlEnsure timely preparation and processing of contracts, invoices, and related documentation.Monitor receivables and follow up with customers for payments in coordination with the finance team.Maintain compliance with company policies and documentation standards.Process ImprovementIdentify opportunities to streamline workflows and improve sales operations efficiency.Support reporting, data analysis, and performance tracking to assist management decision-making.Contribute to continuous improvement initiatives and best practices in customer service and coordination.EducationBachelor’s degree (Graduate) in Business Administration, Commerce, or related discipline preferred.ExperienceFresher or up to 1 year of relevant experience in sales support, customer service, or coordination roles.Internship or exposure to sales/operations environments will be an advantage.Skills & CompetenciesStrong verbal and written communication skillsExcellent coordination and follow-up abilitiesHigh attention to detail and accuracyGood organizational and time-management skillsAbility to multitask and prioritize in a fast-paced environmentCustomer-focused mindset with problem-solving capabilityAbility to work effectively with cross-functional teams and across different time zones and culturesProficiency in MS Office (Excel, Word, PowerPoint); knowledge of ERP/CRM systems is an advantageStrong analytical and logical thinking abilityKey Success Measures (KPIs)Order processing accuracy and turnaround timeOn-time delivery coordinationCustomer satisfaction and response timeTimely invoicing and payment follow-upEffectiveness of cross-functional coordination
