Avistrat is a design engineering capability partner of the dynamic Indian aerospace sector. We collaborate with aerospace companies, startups, and academia to enable engineers to actively contribute to all stages of design, from concept to detailed design, right from day one. We work in various models with companies. This search is part of our capacity building service wherein we are supporting our client in recruiting the right talent with the desired skill sets. This role is not with Avistrat but our client described below.COMPANY INTRODUCTIONOur client is a leading manufacturer of mechanical and electro-mechanical products across a diverse set of industries including the aerospace and defense sector. This role is for structural design of defence equipment. Further details to be shared after shortlisting.SUMMARY:Project Management plays a dual role that is central to both the personal and professional effectiveness of the executive leadership. This role provides high-level administrative support to the CEO while managing and executing cross-functional projects to ensure timely delivery and alignment with company goals. The ideal candidate is a strategic thinker, detail-oriented executor, and agile communicator—capable of handling confidential information, daily operational logistics, and diverse project portfolios with efficiency and discretionOVERALL RESPONSIBILITIES:Project Management & Strategic ExecutionPlan, coordinate, and execute key projects across departments—ensuring timelines, budgets, and deliverables are metDevelop project charters, scopes, timelines, and reporting structures for internal initiativesFacilitate meetings, document action items, and follow up on execution with accountable partiesAnalyze data, track KPIs, and generate regular status reports for leadership reviewProactively identify risks and roadblocks, offering solutions and contingency plansMaintain strict confidentiality and professionalism in handling personal and business affairs Organize and prioritize incoming requests, delegating or escalating as necessaryAct as a liaison between the CEO and internal/external stakeholdersPrepare reports, presentations, memos, and correspondence with high attention to detail and clarity Cross-functional Coordination & CommunicationCollaborate with teams across departments (sales, HR, finance, operations) to drive alignment and progressServe as a point of contact for internal queries on project timelines, deliverables, and dependenciesAssist with onboarding tasks, internal events, and company-wide initiatives as needed Process Optimization & Workflow ManagementRecommend and implement systems for improving personal workflows and company processes Evaluate tools (e.g., project management, CRM, calendar tools) for effectiveness and usabilityDevelop SOPs and templates to streamline recurring tasks and standardize communication DELIVERABLES & KPIs:Project Completion Rate (target: 90%+ on-time delivery)CEO Administrative Efficiency (measured through reduction in time spent on non-core tasks)Stakeholder Satisfaction Score (internal/external responsiveness and quality feedback)Number of Strategic Initiatives Managed per Quarter (target: 3–5 active projects) QUALIFICATIONS:Bachelor's degree in Business Administration, Communications, Operations, or a related field2–5 years of experience in operations, or project management roleProject Management certification (e.g., PMP, CAPM) is a plusStrong knowledge of project management tools (Asana, Trello, ClickUp, or similar)Proficient in Microsoft Office Suite and Google WorkspaceExperience in a fast-paced, entrepreneurial, or start-up environment preferred REQUIRED SKILLS & ATTRIBUTES:Highly organized, resourceful, and detail-orientedExcellent verbal and written communication skillsStrong problem-solving and analytical skillsAbility to multitask and manage shifting priorities with poiseDiscretion and integrity when handling sensitive informationStrong interpersonal skills with a collaborative mindsetHigh degree of self-motivation and accountability PHYSICAL REQUIREMENTS & OTHER CONSIDERATIONS:Prolonged periods of sitting and working at a computerAbility to travel locally or occasionally for project oversight or personal support tasksFlexible availability, including occasional after-hours responsiveness
