The firm is now setting up its Mumbai studio to strengthen its India presence and is looking to appoint a Bids & Proposals professional as part of the early team to support business acquisition and global submission processes.----------------------------------------------Role Summary:Company: Leading Global Architecture & Design Firm (Name shared during process)Location: Powai, MumbaiCTC: 8 to 10 LPADesignation: Executive / Sr. Executive – Bids & ProposalsYears of Experience: 3–6 years in bid / tender / proposal experience in architecture firms is mandatory.Job Type: Full-time, On-site, Mon–Fri (5-day work week)----------------------------------------------Position OverviewThis is a pure bid management and proposal operations role, responsible for managing the end-to-end lifecycle of RFPs, RFQs, and tender submissions for architectural and design projects across India projects.The role sits at the core of the firm’s business acquisition engine, ensuring that all submissions are structured, compliant, accurate, and delivered within strict timelines.You will work closely with design, technical, finance, and leadership teams in the India office, acting as the central coordinator for all bid-related activities.This role is ideal for professionals from Architecture firms mainly & before that with EPC, PMC, engineering consultancy, or real estate advisory backgrounds looking to transition into a global design firm environment.----------------------------------------------Key ResponsibilitiesManage the end-to-end bid lifecycle, including RFP/RFQ receipt, planning, coordination, and final submissionAnalyse tender documents to identify key requirements, eligibility criteria, and submission structuresPrepare and manage bid trackers, timelines, and submission checklistsCoordinate with internal stakeholders (design, technical, finance, leadership) to ensure timely and accurate inputs.Compile and structure complete proposal documents including:1> Company credentials2> Project sheets3> Project Team ProfilesSupporting documentationEnsure strict compliance with client requirements, formats, and submission guidelinesMaintain version control, documentation accuracy, and consistency across submissionsConduct final quality checks to ensure error-free and complete submissionsManage submissions across platforms (online portals / email / physical submissions)Maintain a repository of past bids, templates, and standard documentsContinuously improve internal bid processes and documentation systems----------------------------------------------Qualifications & Must-Have SkillsBachelor’s degree in Engineering, Architecture, Construction Management, or related field3–6 years of experience in bid management / tendering / proposal coordination rolesPrior experience working on RFP / RFQ / tender submissions is mandatoryStrong understanding of bid processes, compliance requirements, and documentation standardsExcellent attention to detail and ability to manage high-stakes submissions under tight deadlinesStrong coordination and stakeholder management skillsProficiency in MS Word, Excel, and PowerPointFamiliarity with tender portals and submission systemsExposure to architecture / real estate / infrastructure sectors is a must have.----------------------------------------------Why This Role Stands OutOpportunity to work with a Top 75 global architecture and design firmExposure to the best bid standards, systems, and processesHigh ownership role within a growing India teamStrong learning curve at the intersection of operations, strategy, and global collaborationClear pathway to grow into Proposal Manager / Bid Lead roles---------------------------------------------------------------
