The assistant's primary responsibilities include helping the different project managers with tasks related to data entry, communication plans, managing guest lists, generating reports and external coordination based on instructions. Other duties may be assigned as needed by supervisors. ▪ Project Management: Assist the Lead project managers in end-to-end guestlist management, hospitality planning & guest communication for each event, from initial invitation to the final farewell. ▪ Guestlist Coordination: Aid organize complex RSVPs with finesse, keeping everything streamlined and every guest accounted for. ▪ Meticulous Data Handling & Communication: As assistants at TBC, you will be responsible for ensuring that all guest data is accurately handled and securely stored. You will act as the back end support in managing the flow of guest-related information seamlessly, ensuring each invitee receives timely, clear, and personalized communication. ▪ Client Servicing: You will gain experience in the nuances of client servicing and even partake in servicing a diverse range of clients, including brides, grooms, and meticulous event planners who rely on us. Engage with event planners and companies that hire us, ensuring prompt responses and handling details with professionalism to build trust as their preferred vendor. ▪ Relationship Building: Foster genuine connections with clients, guests, and event partners, creating relationships that last well beyond the event. ▪ Coordination with Planners & Agencies: Liasion with the planning team of the project for all things hospitality related and ensure an unforgettable guest experience is created and executed for the event. What We’re Looking For: We’re looking for someone who is not only a natural people's person, with a deep understanding of hospitality, but also excels in operations and meticulous data handling—someone who can seamlessly balance creating exceptional guest experiences while ensuring everything runs smoothly behind the scenes. ▪ Exceptional Communication: You communicate clearly, professionally, and engagingly in both written and spoken English. ▪ People Skills: You excel in connecting with people and making them feel comfortable and valued. ▪ Organizational Superpower: You’re a natural multitasker who handles guest lists, changes, and details effortlessly. ▪ Detail-Oriented: You catch the smallest details and can spot issues before they arise. ▪ Tech-Savvy: You’re proficient in Google Drive, MS Office, and Canva, and can navigate these tools with ease to support efficient guestlist and event management. ▪ Charismatic and Persuasive: Building relationships and encouraging guest participation comes easily to you. Educational Qualifications: We prefer hiring candidates who hold any one of the following qualifications: ▪ Bachelor’s Degree in Hospitality Management, Event Management, Business Administration, Communications, Public Relations, or a related field. ▪ Diploma in Hotel Management ▪ A Diploma in Event Management or Customer Relationship Management (CRM) is a plus but not mandatory.
