Product Operations Coordinator — Release & Delivery Product Strategy & Operations Department: Product — Product Strategy & Operations Reports To: Sr. Director, Product Strategy & Corporate Development Location: Hybrid—Pune Must work US Central business hours (minimum 9am-1pm CT overlap) Employment Type: Full-Time Level: Junior to Mid-Level (2-4 years experience) About the Role We are looking for a Product Operations Coordinator to serve as the operational heartbeat of our Product organization. This role owns the end-to-end release coordination cycle, launch readiness processes, and commercialization activities that ensure what our product teams build gets delivered to customers effectively. You will be the single owner of the recurring operational cadences that keep the Product org aligned: the Release Planning meeting, launch coordination, Community of Practice, and Product All Hands. You will also manage the artifacts that communicate product progress to the rest of the organization — including the roadmap, release notes, and roadmap presentations. This is a role for someone who thrives on bringing order to complexity through proactive process improvement, who gets satisfaction from tracking every action item to completion, and who can facilitate meetings across diverse cross-functional stakeholders with confidence and clarity. You will start by running established processes and progressively take on process improvement and framework development as you build organizational context. Key Responsibilities Release & Launch Coordination Own the weekly Release Planning meeting end-to-end: agenda preparation, facilitation, follow-up action tracking, and accountability for item completeness across all product teams. Proactively collaborate with Product Managers and Product Owners across the full product portfolio to ensure release planning items are populated, reviewed, and ready for discussion ahead of each meeting. Track release item completeness across product teams; identify gaps early and drive accountability for timely updates in project management tools. Own the Launch Planning meeting: agenda, facilitation, and coordination of cross-functional readiness activities across enablement, legal, finance, and marketing. Manage the initiative tracking process, ensuring all active product initiatives are properly established, categorized, and allocated within the quarterly roadmap framework. Commercialization Coordination Own the task list for commercialization activities across the full product portfolio, ensuring execution of operational steps including coordination with enablement, legal, finance, and revenue operations. Partner with Product Managers and Product Marketing to ensure all pre-launch operational requirements are identified, assigned, and tracked to completion. Coordinate SKU launch readiness activities across business operations, legal, and finance stakeholders per the established commercialization workflow. Product Team Operating Rhythm Own the Community of Practice (CoP) meeting: coordinate topics with Product Managers and Product Leadership, identify speakers, manage the agenda, and ensure sessions deliver value. Own the Product All Hands meeting: coordinate content, agenda, and logistics to keep the broader Product organization informed and aligned. Cross-Functional Artifact Management Maintain the externally-shared product roadmap, ensuring it reflects current priorities and timelines accurately. Coordinate roadmap artifact updates (presentation decks) for use in cross-functional and executive discussions. Manage the cross-functional release notes process, ensuring coordination between Product, Marketing, and other stakeholders on content and timing. Required Qualifications Bachelor’s degree in related field or equivalent combination of education and experience. 2-4 years of experience in project management, program coordination, product operations, or a similar operational role within a technology or SaaS environment. Demonstrated ability to facilitate cross-functional meetings with stakeholders from diverse functions (engineering, legal, finance, sales, marketing, customer success). Strong organizational skills with meticulous attention to detail — you are the person who tracks every action item and follows up until it is done. Excellent written and verbal communication skills. You can distill complex project status into clear, actionable updates for multiple audiences. Comfort working with project management and collaboration tools (e.g., Jira, Confluence, or similar Agile/project tracking platforms). Ability to work US Central business hours with consistent availability for live meetings and real-time collaboration. Self-starter who can operate with limited direction once processes and expectations are established. Preferred Qualifications Experience in B2B SaaS product operations or release management. Familiarity with product commercialization or go-to-market coordination processes. Experience with Atlassian tools (Jira, Confluence) for project tracking and documentation. Exposure to insurance technology, financial services technology, or similar regulated industry software. Experience coordinating across geographically distributed teams. PMP, CAPM, or Agile certification (Scrum Master, SAFe, etc.). Tools & Technologies You will work daily with Jira and Confluence for project tracking and documentation, Salesforce for CRM context, Microsoft 365 (Teams, Outlook, PowerPoint, Excel) for communication and reporting, and Tableau/Snowflake for data access. Experience with AI productivity tools (e.g., Claude) is a plus. What Success Looks Like First 90 Days Fully own the Release Planning meeting with no reliance on interim coverage. Establish a repeatable release item completeness tracking mechanism that PMs/POs engage with consistently. Take over CoP and All Hands meeting coordination with a documented forward-looking content plan. Document the current release, launch, and commercialization processes as-is, identifying initial improvement opportunities. Build working relationships with Product Managers and key cross-functional stakeholders across the full product organization. 6-12 Months Deliver measurable improvements to the release planning framework (e.g., reduced cycle friction, improved item completeness rates). Establish a documented commercialization coordination playbook that can be followed consistently across launches. Confirm and execute the transition of Launch Planning ownership to Product Marketing, or establish long-term ownership within Product Operations. Reduce the operational burden on Product Managers by proactively managing release/launch coordination activities they previously handled themselves.
