Job Title: Chief Warden – Girls HostelDepartment: Hostel AdministrationReporting To: Pro-Vice Chancellor, AdministrationJob PurposeThe Chief Warden – Girls Hostel is responsible for the overall administration, discipline, safety, and well-being of female students residing in the university hostels The position demands proven experience in managing large-scale hostel operations with high student occupancy and multi-layered staff structures.Key Responsibilities1. Hostel Administration & OperationsLead and oversee end-to-end operations of large-capacity girls’ hostels (1000–1200+ residents), ensuring smooth day-to-day functioning, discipline, and service quality.Manage core administrative responsibilities including room allocation, occupancy planning, and accurate maintenance of hostel records.Supervise and guide a multi-tier team (wardens, assistant wardens, supervisors, caretakers, and support staff) while ensuring strict compliance with hostel policies and code of conduct.2. Student Welfare & DisciplineFoster a safe, respectful, and inclusive residential environment for all students.Address student grievances, conflicts, and disciplinary issues promptly, while providing initial counseling support and coordinating with professionals when needed.Conduct regular review meetings with wardens and student representatives to ensure effective communication and continuous improvement.3. Safety & Security ManagementEnsure stringent implementation of safety protocols with a strong focus on women’s safety. Make sure compliance with fire safety, health, and statutory safety norms.Coordinate closely with campus security teams to maintain 24/7 surveillance and vigilance.Monitor entry/exit systems, biometric/visitor logs, and emergency response mechanisms.4. Compliance & Policy ImplementationImplement and monitor university policies along with regulatory guidelines (UGC/AICTE/State norms).Maintain comprehensive documentation, registers, incident reports, and audit records. Conduct periodic inspections and internal audits to ensure full compliance.5. Infrastructure & Facility ManagementCoordinate with maintenance and engineering teams for upkeep of hostel infrastructure.Ensure high standards of cleanliness, hygiene, and uninterrupted utilities (water, electricity, Wi-Fi, etc.).Monitor mess and cafeteria services, ensuring food quality, hygiene, and student satisfaction.6. Financial & Resource ManagementAssist in budgeting, cost control, and financial planning for hostel operations.Oversee procurement processes, vendor coordination, and inventory management. Ensure optimal utilization of resources across hostels.7. Team Leadership & Workforce ManagementLead and manage a large multidisciplinary team, including wardens, supervisors, maintenance staff, housekeeping, and security personnel.Define roles, responsibilities, and performance expectations for hostel staff.Conduct regular training, performance reviews, and capacity-building initiatives.Ensure effective coordination across all levels of hostel administration.8. Emergency Handling & Crisis ManagementAct as the primary authority during emergencies within hostel premises.Handle medical emergencies, safety incidents, and crisis situations with prompt decision-making. Liaise with parents/guardians and university leadership when required.Qualifications & ExperienceUndergraduate degree in any discipline, preference will be given to women candidatesMinimum 10–15 years of experience in hostel administration/student affairs, preferably in universities or large residential institutions.Mandatory experience in managing large-capacity hostels Proven experience in handling and leading teams of wardens, supervisors, maintenance staff, and support personnel.Prior experience in Girls/women’s hostels is highly desirable.Working ConditionsResidential role/nonresidential roleAvailability beyond regular working hours, including weekends, for emergencies and operational needs.Key Skills & CompetenciesStrong leadership and large-team management capabilityExcellent stakeholder management and coordination skillsHigh emotional intelligence and conflict resolution abilityStrong decision-making and crisis management skillsOperational excellence in large-scale residential administrationSensitivity to gender issues and student diversity
