Role OverviewCity College Jayanagar is seeking a highly driven and intellectually agile professional to serve as the Executive Secretary & Office Administrator to the Vice President—a role positioned at the intersection of strategy, execution, revenue growth, and institutional excellence.This is not a traditional administrative position. Executive Support & Calendar Management- Strategically manage the Vice President’s calendar, aligning meetings with institutional priorities and impact - Prepare daily and weekly executive briefs, including key updates, risks, and action items - Ensure decision readiness by organizing data, reports, and context ahead of meetings - Optimize leadership time by filtering, prioritizing, and structuring engagements B. Strategy Execution & Follow-ups- Track and monitor execution of strategic initiatives across admissions, academics, marketing, and operations - Establish structured follow-up systems to ensure timely completion and accountability - Coordinate with department heads to align deliverables with institutional goals - Maintain a centralized execution dashboard for leadership visibility C. Revenue & Growth Support- Support initiatives related to admissions growth, partnerships, and new revenue programs - Track key performance metrics such as leads, conversions, program uptake, and revenue outcomes - Assist in identifying opportunities to improve revenue streams and operational efficiency - Prepare performance summaries and insights for leadership review D. Industry & International Collaborations- Coordinate partnerships with corporates, training organizations, and international institutions - Manage communication, documentation, and follow-ups for MOUs, collaborations, and joint programs - Track execution of partnership deliverables and ensure alignment with institutional objectives - Support development of new collaboration pipelines E. Branding & Outreach Support- Assist in planning and execution of branding initiatives, institutional events, and outreach programs - Coordinate with marketing, media, and content teams to ensure consistent brand positioning - Support external engagement activities, including partnerships, events, and strategic communications F. Office Administration & Culture- Maintain a professional, structured, and high-performing office environment - Ensure smooth internal communication and operational coordination across teams - Foster a positive, respectful, and collaborative workplace culture - Act as a bridge between leadership and teams to ensure alignment and clarity G. Problem Solving & Process Improvement- Identify operational inefficiencies, gaps, and delays across departments - Proactively recommend and implement solutions to improve processes and systems - Support development of standard operating procedures (SOPs) and workflow structures - Contribute to building a data-driven and system-oriented organization H.
