The role requires ownership, accuracy in documentation, and regular coordination with internal teams and external government stakeholders.Key Responsibilities - Office Administration - Manage day-to-day office operations, facilities, and administrative support activities. - Handle vendor coordination, travel bookings, office supplies, AMCs, and related service providers. - Maintain systematic filing (physical and digital) of contracts, invoices, approvals, and statutory documents. - Government Liaison & Certifications - Coordinate independently with government departments, notified bodies, and consultants for company and product-related certifications. - Prepare and manage documentation for regulatory certifications such as WPC/ETA, BIS, and other relevant approvals as applicable to the company’s product line. - Track validity, renewal dates, and compliance timelines; raise alerts in advance to ensure continuity of licenses and registrations. - Draft and submit official letters, applications, and responses to government authorities and certification agencies. Tender & GeM Management - Regularly monitor GeM and other central/state e-procurement portals to identify relevant tenders aligned to the organisation’s product and service portfolio. - Analyse tender documents for eligibility, technical and commercial conditions, and highlight critical points to sales, technical, and management teams. - Coordinate preparation of technical and financial bids by collecting inputs, formats, and supporting documents from internal stakeholders. - Manage creation and updating of GeM product/service listings, documentation uploads, bid submission, and post-bid follow-ups. - Maintain updated records of published tenders, submitted bids, results, and related communication for reporting and audits. - Compliance, Reporting & Coordination - Support internal and external audits with complete documentation related to certifications, tenders, and statutory compliances. - Prepare periodic MIS reports on tenders searched, bids submitted, status summaries, and certification/renewal progress. - Coordinate with sales, technical, finance, HR, and logistics teams to ensure smooth flow of information for tenders, orders, and government interactions. Required Qualifications & Experience - Bachelor’s degree in Commerce, Business Administration, Management, or related field; a postgraduate qualification is an advantage but not mandatory. - 5–8 years of experience in office administration and government-facing functions, preferably in wireless / radio / telecom / defense / electronics or similar technology sectors. - Hands-on experience with GeM and other government e-procurement portals, including tender identification, documentation, and bid submission. - Exposure to regulatory and certification processes for wireless / RF-enabled products (e.g., WPC/ETA, BIS) will be a strong plus. Key Skills - Strong understanding of government tender processes, bid documentation, and standard commercial terms. - Good knowledge of MS Office (Word, Excel, PowerPoint) and comfort with online portals and digital documentation. - Excellent written and verbal communication skills; ability to draft formal letters and emails. - High attention to detail, strong organisational skills, and ability to work with deadlines across multiple parallel tasks. - Professional conduct in interactions with government officials, auditors, vendors, and internal stakeholders. Preferred Attributes - Prior experience in an Indian wireless / radio / telecom or defence-technology organisation. - Experience contributing to ISO or other management system audits from a documentation/coordination perspective. - Proactive, self-driven approach with a sense of ownership over assigned activities and timelines.
