Hotelogix is looking for a highly organized, discreet, and proactive Executive Assistant to the CEO who can manage priorities with precision, handle confidential matters professionally, and support executive operations seamlessly. In this role, you will work closely with the CEO and senior stakeholders, ensuring smooth communication, calendar management, meeting coordination, travel planning, and executive support across day-to-day operations. Key Responsibilities • Coordinate executive communications, including calls, emails, and client interactions • Manage the CEO’s calendar, meetings, conferences, teleconferences, and travel schedules • Act as a point of contact between executives, employees, clients, board members, investors, and external partners • Prepare and format internal and external communication such as emails, memos, presentations, and reports • Take, record, and transcribe meeting minutes accurately • Monitor emails and respond on behalf of the CEO when required • Screen and route incoming calls and respond to inquiries professionally • Arrange conference rooms, out-of-town conferences, hotel stays, flights, and ground transportation, both domestic and international • Provide remote support to executives during travel • Maintain strict confidentiality across sensitive information, financial documents, records, and personal matters • Support event and logistics execution, including staffing, accommodation, hospitality, and production coordination • Draft and format detailed legal contracts and track correspondence, events, projects, and pricing updates within timelines • Support coordination of team-building activities for junior and senior assistants Experience & Education • 4+ years of experience supporting upper-level management in a related organization Skills & Abilities • Strong organizational skills with the ability to prioritize multiple tasks effectively • Excellent communication and interpersonal skills • Ability to build strong relationships with internal and external stakeholders • Proficiency in MS Word, Excel, and PowerPoint • Strong research, writing, editing, and grammar skills • Ability to work independently with sound judgment and discretion • Excellent time management and problem-solving skills Why join Hotelogix?
