This role supports contract lifecycle management, policy administration, compliance documentation, and renewal tracking across multiple geographies, primarily the US and Canada. Key Duties and ResponsibilitiesDocumentation & Records Management:Organize and manage electronic filing and maintain accurate, organized records for all client, vendor, and service contracts.Maintain and continuously improve the vendor database, with a focus on automation and data accuracy.Circulate policies and ensure proper archival for employees, vendors, and clients. Contract Renewals & tracking: Assist with creating a system to ensure tracking of renewals of various Client and Vendor SOWs/Work orders.Coordinate and support timely completion of all annual and periodic contract renewals.Contract Management:Prepare using provided templates any forms, vendor contracts and work orders.Assist in updating and maintaining contract templates for new or evolving business engagements.Coordinate with Vendors and stake holders to get the contracts signed. Track and maintain SOW-to-PO (Statement of Work to Purchase Order) correlationsMaintain comprehensive logs for client documentation and highlight key terms such as representations, warranties, and insurance clauses to the leadership teamAssist in Drafting and Updating internal policies in collaboration with relevant departments (e.g., HR, Accounting).Reporting and Research:Review and report on the completeness and accuracy of vendor databases, client SOWs, and employee records. Explore and implement tools and processes for document management, making updates in other pre-existing tools essential for supporting the business. Assist in legal research on applicable requirements, guidelines, and templates for business letters, agreements, and policiesMaintain the Immigration Tracker Reporting and Provide Back-up Coverage for Legal team members for US & Canada Immigration:Occasionally liaise with US immigration attorney and Canada Immigration ConsultantAssist to Track Work permit information for filing timely renewalsAssist with Preparing Business travel related immigration lettersAssist to Liaise, prepare, track and follow up for Green Card and H1 related documentation and coordinate for filingsStakeholder Coordination:Coordinate with external legal professionals and Accountants in the US, Canada, Mexico, and other jurisdictions for contract and document review.Liaise with internal teams including HR, Accounting, Network Administration, Pillar Leads, and Team Leads to ensure timely flow of contract-related information.Support organization-wide communication for policy rollouts and annual/periodic policy affirmations.Skills Required: Bachelor’s degree in business, Commerce, Arts or a related fieldMinimum of 1–3 years of experience in a law firm and/or in-house legal department.Strong Organization skills, Needs to Detail-oriented and efficient in managing documentation and filing systems.Basic understanding of corporate and commercial laws and regulations.Team player and Positive attitude with high ethical standards & a strong commitment to maintaining confidentiality.Strong research aptitude with an investigative mindset.Good analytical, negotiation, and communication skills.Good time management skills and flexibility to collaborate across US and other international time zones.
