Roles and Responsibilities 1. Student Management & Support Serve as the primary point of contact for student queries regarding academics, attendance, examinations, and university procedures. Maintain updated student databases , personal files, and academic records. Handle student onboarding, ID cards, induction, orientation programs, and academic counselling coordination. Manage attendance reports, shortage lists, and communicate with parents when required. Support placement, internship, and mentoring activities in coordination with respective committees. Assist students requiring special permissions, grievance redressal, or academic support. 2. Examination Coordination Liaise with the Examination Department for internal and external exams. Coordinate internal assessment exams, invigilation schedules, marks entries, and result processing. Ensure confidentiality and accuracy in handling question papers, answer sheets, and mark records. Manage remedial exam lists, ATKT students’ data, and communication with faculty/students. 3. Administrative & Office Operations Draft official letters, meeting minutes, reports, and documentation for the School of Commerce. Maintain departmental files, student documents, and administrative registers. Manage faculty attendance, leave logs, visiting faculty schedules, and reimbursement support. Handle procurement of stationery, classroom supplies, and event materials. Coordinate communication between the department and university administrative offices. 4. Event & Activity Coordination Organize academic events, student development programs, guest lectures, industrial visits, and workshops. Work with faculty coordinators for event permissions, logistics, and reporting. Prepare event reports, attendance lists, feedback summaries, and photographs for documentation. 5. Communication & Liaison Responsibilities Act as a bridge between students, faculty members, the examination cell, and university administrators. Handle parent communication during academic/disciplinary meetings or updates. Prepare communication drafts for newsletters, website updates, and departmental highlights. 6. Academic Administration Assist in the preparation of timetables, academic calendars, internal assessment schedules , and faculty workload. Coordinate classroom and resource allocation with timetable teams and faculty. Maintain records of lecture plans, syllabus completion reports, and faculty submissions. Support the Dean/Academic Head in preparing NAAC/NBA-related documents, departmental reports, and audit files. Ensure timely issuance of notices, circulars, and academic announcements. 7. Additional Duties Provide administrative support to the Dean/School authorities as required. Maintain confidentiality and professional ethics in all student-related and institutional matters. Perform any other task assigned by the Dean, Principal, or University Management within the scope of academic administration. Key Performance Indicators (KPIs) Timeliness and accuracy of academic documentation related to students. Student satisfaction and responsiveness to queries. Error-free exam and attendance coordination. Efficient communication flow within the department. Effective event management and reporting.
