We are hiring for Collective Creative Labs (CCL), part of the Collective Artists Network.Position: Executive Assistant (EA)Location: Mumbai / DelhiExperience: 3–7 yearsIndustry: Media / Entertainment / Advertising / Creative ServicesWe’re looking for a highly organized, proactive, and dependable Executive Assistant who can seamlessly support senior leadership, manage fast-moving schedules, coordinate across teams, and ensure smooth day-to-day operations. The ideal candidate should be detail-oriented, adaptable, and comfortable handling multiple priorities in a dynamic, high-pressure environment.Key ResponsibilitiesExecutive SupportManage complex calendars, schedule meetings, and coordinate appointments.Prioritize and manage incoming communication, including emails, calls, and meeting requests.Prepare agendas, presentations, reports, and briefing materials for meetings.Track follow-ups, action items, and ensure timely completion of key deliverables.Coordination & CommunicationServe as a key point of contact between leadership and internal/external stakeholders.Coordinate cross-functional meetings and ensure smooth communication across teams.Draft professional emails, notes, and internal communication on behalf of leadership.Handle confidential information with discretion and professionalism.Travel & LogisticsArrange domestic and international travel, accommodation, and itineraries.Manage expense reports, reimbursements, and related documentation.Operational SupportTrack business priorities, ongoing projects, and key deliverables.Support in preparing presentations, business reviews, and reports.Maintain organized records, documents, and filing systems.Assist with special projects and ad hoc tasks as needed.Qualifications & ExperienceBachelor’s degree in Business Administration, Management, or a related field preferred.3–7 years of experience as an Executive Assistant, Personal Assistant, or in a similar role.Prior experience supporting senior leadership or founders is preferred.Strong proficiency in Microsoft Office and/or Google Workspace.Skills & CompetenciesExcellent organizational and time-management skills.Strong written and verbal communication abilities.High level of discretion and confidentiality.Ability to multitask and prioritize effectively in a fast-paced environment.Strong problem-solving mindset with attention to detail.Proactive, resourceful, and dependable approach to work.Preferred AttributesAbility to anticipate leadership needs proactively.Strong stakeholder management and coordination skills.Experience collaborating across multiple teams or departments.Comfortable managing ambiguity and shifting priorities.
