Responsibilities Coordinate with landlord and building for maintenance, loading dock use, and security clearance (badges, passes, locker keys). Oversee office coordination, including new hire logistics, client and visitor studio access, and office equipment repairs or maintenance; research and recommend alternative solutions. Manage front desk and/or administrative staff. Order office supplies and research/recommend alternative solutions as needed. Oversee deliveries and incoming and outgoing packages/mail. Coordinate, support, and elevate workplace experience. Work closely with the leadership team and talent managers to develop strategic programs to drive engagement and deepen connections to our mission, work, and people. Organize vendor lunches or presentations and manage contracts with vendors (e.g., caterers, product suppliers, delivery services) and track and maintain office expenditures. Develop safety strategies for emergencies and coordinate between office staff and building management. Report any security problems as needed and ensure health and safety policies are up to date. Coordinate office cleanups and moves with office services, and organize off‑site de‑filing and storage coordination. Organize and coordinate special events as needed (e.g., employee outdoor events, holiday parties and celebrations). Provide support to local talent management team as needed. Report to Director of Operations, Talent Manager or assigned Principals. Proficiencies Customer service and employee experience driven. Effective verbal and written communication skills. Highly organized with the ability to work on multiple tasks in a fast‑paced, ever‑evolving environment. Able to juggle multiple projects, priorities, and deadlines. Hands‑on problem solver who can work autonomously. People‑oriented and dedicated to creating a positive work environment. Software Proficient in Microsoft Outlook, Word, Excel, and PowerPoint. Experience with Esker, Deltek, and AIA Software. Technical Skills and Certifications High‑level summary of critical, baseline technical skills and certifications. Qualifications Spanish language proficiency – Expert or Advanced level. Preferred Detail oriented – capable of carrying out a given task with all necessary details to get the task done well.
