CoE Office & Community Manager - OnsiteLocation: Guadalajara, JaliscoPlease note that this role requires daily attendance at the office, Monday to Friday.Join the largest ServiceNow pure-play Center of Excellence, an Education & Global Community Hub!We are seeking an engaging, dynamic, and self-driven individual to oversee the Volteo Digital-CoreX office environment, manage office tasks and communications, and support upper management with key functions.This role will manage the CoE’s general activities and interact with office guests and visitors while enabling Volteo Digital employees.The CoE Office and Community Manager will act as the liaison between Volteo Digital CoE and its audience. Representing the voice, tone, and moderator of the brand through community support, content distribution, and digital engagement to build brand presence and trust, both online and in-person.Reporting to the VP of Operations, this role will require tenacity, accountability, and a robust sense of playfulness, as well as inspiration and the ability to inspire others. They will be comfortable with addressing differences and conflict while simultaneously remaining humble and eager to receive and integrate feedback. They’ll also bring great care, integrity, optimism, and customer service to all they do.Office location: Providencia.What you get to do in this role:Office Management activitiesFacilities Management- Be the facility’s ambassador of our company culture - Serve as the facility owner - Set up and control facilities services, supplier research, and vetting - Always maintain an organized workspace (5s’)Front-Desk- Handle incoming and outgoing emails, phone calls, and mail, as well as schedule meetings, travel, appointments, and coordinate meetings. - Continuously improve systems and processes - Collaborate with others in Accounting, Finance, Information Technology, and Human Resources departments - Work cooperatively with all levels of employees, management, and external agencies - Assistance with travel arrangements, meeting room bookings, visas - Organizing and coordinating staff and external meetings, moderating on-site video conferences, sorting and distributing incoming and outgoing post - Suggest changes to office task workflow to improve efficiency - Attend company meetings and take notes, keep minutes, etc. - Notify and remind all parties of upcoming events, lunches, meetings, etc.Hardware & Asset Management- Monitor inventory and order supplies - Submit work orders for repairs for the general office space - Schedule equipment repairs with vendorsVendor Management- Office Vendor relationship owner - Track ordersCommunity Management activities- Establish partnerships with universities, partners & other companies to foster the CoE purpose (Education and Community Hub) - Plan and execute community initiatives and programs - Participate in social events, corporate events, and workshops - Provide community feedback to the management and stakeholders.Required competencies:- Relationship Builder-It is vital to manage relationships & stakeholders.-Empathy, good listening skills, and adaptability- Communication Skills-Fluent in business English, written and spoken.-Excellent presentation skills-Ability to manage customers/ stakeholders and their expectation, and communicate results- Business Acumen-Complete understanding of the business priorities, industry, and ecosystem- Customer Service orientation-Customer-centric focus-Friendly, service-oriented personality-Excellent customer service and interpersonal skills- Time & priorities management-Attention to detail; he/she is conscious that quality is about the details-Ability to meet strict deadlines-Excellent organizational and time management skills- Culture ambassador-Able to work on a cross-functional basis with teams from different cultures and time zones.-Collaborative, self-driven, proven team player and team builder-Energetic, eager to learn and work in a culturally diverse environmentWhat skills are we looking for?- 3+ years experience working as an Office Coordinator or other relevant position - Significant experience with basic bookkeeping principles and office management systems and procedures - Excellent knowledge of MS Office & back-office - Good practical experience with office equipment - Experience in customer service - Strong communication and interpersonal skills with exemplary patience and professionalism - Organized and reliable with prioritizing and multi-tasking abilities - Associate’s or College degree; BSc or BA in business administration or other relevant area will be a bonus - Social media savvy - Strong soft skills online and in-person - Highly adaptableBenefits:- Competitive compensation package - Performance Bonus - Health insurance - Generous Paid Time Off - Birthday Day Off - Extended Maternity & Paternity Leave - Career growth opportunities - Wellness ProgramsAbout Core.XAt Core.X we’re on a mission: To empower customers to harness the power of ServiceNow, unlocking trapped value in their Business Operations – from Customers and Suppliers to Finance, Supply Chain, and Procurement orgs.
