Job Summary: We seek a highly organized and proactive executive assistant to support our CALA VP, located in CDMX, and other national senior management focused on the business's growth and development. The ideal candidate will be a master multitasker with exceptional communication skills and a passion for helping executives maximize efficiency, playing a crucial role in ensuring the smooth operation of daily tasks and business development activities related to follow-up projects. Key Responsibilities Administrative Support : He/She will manage the calendars of the VP and two senior Managers, including scheduling meetings, calls, and coaching sessions. I also coordinate travel arrangements and maintain up-to-date records. Client Relations : This position serves as the primary point of contact for clients and partners, scheduling meetings, providing information, and assisting in the preparation of special agreements. Project Management : He/she will help with project management and timelines, ensuring deadlines are met. I will also track progress on key business initiatives and provide regular updates. Content & Communication : Assist in drafting and proofreading communications, presentations, and newsletters. Event Coordination : Organize workshops, webinars, and in-person events. Handle logistics, participant communication, and follow-ups. Capable of interacting with other areas such as Marketing, Sales, Logistics, Human Resources, Finance, and others. Document Management : Prepare and organize documents, reports, and presentations. Maintain confidentiality and manage sensitive information with discretion. Research & Analysis : Gather data to support the management in decision-making and strategy development Ad Hoc Tasks : Provide support on any miscellaneous tasks to support the growth of the business, including personal assistance as required Key Qualification Experienc e: Minimum 10 years of administrative or executive assistant experience, ideally in global companies. Skill s: Excellent written and verbal communication skills, strong organizational abilities, and a keen eye for detail. Proficient in Microsoft Office Suite, Google Workspace, and project management tools. Power BI. Technology : Comfortable with technology and adept at learning new systems and tools (experience with scheduling software, CRM systems, and online marketing tools preferred Interpersonal Skill s: High emotional intelligence, professionalism, and a friendly demeanor.
