About the role This role primarily involves managing executive schedules, coordinating meetings and travel arrangements, and handling expense reports and supplier invoices. Additionally, the position includes planning events and dinners. Main Responsibilities: Manage the agenda and calendar. Plan, organize, and prioritize daily meetings and commitments. Coordinate domestic and international business travel arrangements (booking flights, hotel reservations, transportation) using CONCUR. Organize and clean notes during meetings for minute preparation. Prepare reports and documents related to expense verification. Receive supplier invoices and follow up to ensure timely payment. Coordinate reception activities and chauffeur/messenger services. Organize events and/or dinners in and outside Mexico City. Requirements: Bachelor's degree or Technical career in Administrative/Finance/Accounting or equivalent experience. 3+ years of experience working as an assistant to executive levels. 5+ years providing administrative support. Fully Bilingual English-Spanish Experience in travel logistics, flight, hotel, and car reservations (domestic and international). Basic accounting and invoicing knowledge. Familiarity with Oracle and SAP systems. Previous experience with Concur. Organization skills. Professionalism and discretion. Nice to Have: Portuguese language.
