JOB TITLE: Residential Leasing Administrator – Affordable Housing JOB SUMMARY: The Residential Leasing Administrator is responsible for managing all aspects of the leasing process for affordable housing communities, with a focus on new lease-ups and filling vacancies at stabilized properties. This role ensures compliance with all affordable housing program requirements while providing excellent service to prospective and current residents. The Leasing Administrator will conduct outreach, prequalify applicants, and support the goal of achieving and maintaining full occupancy across Castellan’s portfolio. JOB RESPONSIBILITIES: New Lease-Ups and Vacant Unit Leasing: Coordinate the full leasing process for new and existing affordable housing communities, from marketing and outreach through move-in. Outreach and Prequalification: Conduct outreach to community organizations, referral partners, and applicant pools to generate qualified leads and prequalify applicants in accordance with affordable housing requirements. Application Processing: Review and verify applicant eligibility (income, household composition, program compliance) and coordinate approvals with property management teams. Marketing Coordination: Work with property managers and marketing partners to promote available units through approved advertising channels and local community networks. Compliance and Documentation: Ensure all leasing files and applicant documentation meet LIHTC and other affordable housing program requirements. Lease Execution and Renewals: Prepare, issue, and track lease agreements and renewals with accuracy and compliance. Data Management: Maintain accurate applicant and leasing data in property management and compliance systems. Customer Service: Provide prompt, professional, and courteous assistance to applicants, residents, and community partners throughout the leasing process. Reporting: Prepare leasing status reports, applicant pipeline updates, and occupancy tracking for internal teams. Fair Housing Compliance: Maintain up-to-date knowledge of federal, state, and local Fair Housing laws and ensure compliance in all leasing activities. REQUIREMENTS: Bachelor’s degree in business, real estate, property management, or a related field preferred. Prior experience in residential leasing, affordable housing, or property management required; knowledge of LIHTC and other affordable housing programs strongly preferred. Fluent in English and Spanish (required) — must be able to communicate clearly and professionally with applicants and residents in both languages. Excellent written and verbal communication skills. Strong organizational skills with the ability to manage multiple lease-ups and high application volume. High attention to detail and accuracy in reviewing applications, leases, and compliance documentation. Proficiency in property management software and Microsoft Office (Word, Excel, Outlook). Ability to work independently while collaborating effectively with on-site and remote teams. Professional, organized, and customer-service oriented, with a strong understanding of Fair Housing principles.
