Job Description

This Administrative Assistant role provides comprehensive administrative and human resources support to a chemical manufacturing facility in Nuevo León. It ensures efficient coordination across departments, manages vendor relationships, supports employee lifecycle processes, and contributes to compliance and continuous improvement initiatives. The position plays a key role in maintaining a well-organized, compliant, and people-focused work environment. Primary Responsibilities Manage quotations, purchase orders, contracts, and service agreements for various vendorsMaintain vendor records and support annual supplier evaluationsProcess invoices in SAP, assign cost centers, and ensure timely postingTrack and reconcile monthly expenses for services, training, and benefitsSupport audits and documentation for Integrated Management Systems (ISO, OEA, CTPAT)Administer employee lifecycle documentation (hiring, onboarding, changes, terminations)Coordinate with Payroll for updates, benefits, and insurance processingManage medical exams and occupational health complianceMaintain headcount, absence, turnover, and overtime reportsUpdate organizational charts and job descriptions in coordination with HR and leadershipPlan and track mandatory and functional training across departmentsCoordinate external training providers and certificationsSupport onboarding, internal tools, and employee engagement initiativesConduct Gemba walks and support wellness and communication effortsEnsure compliance with labor and social security regulationsPromote psychosocial risk prevention and support legal documentationParticipate in continuous improvement and Lean initiativesSupport performance evaluation processes and maintain confidentialityMinimum Requirements Bachelor’s degree in Business Administration, Human Resources, or related fieldMinimum 3 years of experience in administrative and HR coordination roles, preferably in manufacturingProficient in Microsoft OfficeStrong organizational and multitasking abilitiesKnowledge of Mexican labor and social security processesExcellent communication and interpersonal skillsIntermediate English proficiencyFamiliarity with Workday, Learning Center, and SAP (preferred)Preferred Requirements Experience in Lean Manufacturing or process improvement methodologiesAbility to interact with employees, contractors, and external providersUse of PPE when entering production areasParticipation in audits, crisis committees, and legal compliance meetingsExperience managing credit card expenses and HR reportingStrong competencies in innovation, accountability, performance excellence, change management, customer focus, and teamwork#LI-MM1
