Position Summary: The Contract Admin Specialist is responsible for preparing, reviewing, and managing standard contracts including Service Agreements, Statements of Work (SOWs), Termination Notices, and Non-Disclosure Agreements (NDAs) to support the Procurement Sourcing team. This role also assists with supplier registrations and system maintenance as requested by Procurement or business units. The Contract Admin Specialist will interact with internal stakeholders, including Business Partners, Attorneys, Paralegals, and Strategic Sourcing Category Managers, as well as vendors both within and outside of the United States. These interactions could include negotiating contract terms and pricing with the intention of achieving cost savings for the organization. Additionally, this position will provide functional training and minor technical support for the Oracle Cloud Contract Management module. Key Responsibilities: Draft, review, and execute standard contracts (NDAs, MNDAs, Service Agreements, SOWs, Termination Notices) in accordance with company policies and procedures. Support contract creation and maintenance in the Oracle Cloud Contract Management module. Ensure all contract processes comply with internal controls and policies. Interact with vendors in the US and internationally to negotiate contract terms and pricing, with a focus on cost savings and risk avoidance. Provide status updates on contracts and supplier registrations. Assist Category Managers with contract follow-ups and manage pending approvals in Oracle. Maintain digital records and documentation in Oracle Cloud Contracts. Serve as a Subject Matter Expert (SME) for the Oracle Cloud Contract Module, providing training and minor technical support to internal customers. Support regression testing and continuous improvement of contract management processes. Address questions, issues, and training needs related to the contract process. Qualifications Bachelor’s degree in Business Administration, Law, or a related field. Business-level English proficiency (spoken and written) is required; demonstrated ability to draft and redline legal documents in English. Minimum 2 years of experience in a legal or contracts management department, preferably within a company headquartered in the United States. Solid working knowledge of the Oracle Cloud Contract module (preferred). Solid working knowledge of Smartsheets (preferred). Advanced proficiency in MS Office (Excel, Word, PowerPoint). Experience with DocuSign, intranet portals, and online shared drives. Strong attention to detail, organizational, and communication skills. Ability to understand procurement operational controls, policies, KPIs, and drive process efficiencies. Regularly uses ingenuity and innovation to develop solutions aligned with organizational objectives.
