Position Summary: The Contingent Workforce Program Coordinator provides essential administrative and operational support for our non-employee labor program. This role serves as the primary point of contact for the end-to-end lifecycle of our contingent workers—from initial requisition through offboarding. You will manage daily operations within our Vendor Management System (VMS), ensuring data integrity, compliance, and seamless communication between hiring managers and our staffing partners. Primary Responsibilities: VMS Operations & Requisition Management: Facilitate the daily administration of the Vendor Management System (VMS) (e.g., SAP Fieldglass, Beeline). Review and process new job requisitions, ensuring all required approvals and budget codes are accurate before releasing to vendors. Monitor candidate submissions and coordinate interview scheduling between hiring managers and staffing agencies. Onboarding & Lifecycle Coordination: Lead the onboarding process for all new contractors, including background check verification, contract documentation, and system access provisioning. Act as the central liaison for "non-employee" inquiries regarding company policies, timekeeping, and facility access. Manage the offboarding process, ensuring equipment is returned and system access is de-provisioned in a timely manner. Financial & Compliance Administration: Oversee the time and expense approval process, ensuring all hours are submitted and approved according to weekly deadlines. Perform monthly audits of contractor files to ensure 100% compliance with labor laws, classification requirements, and company policy. Assist with invoice reconciliation and spend tracking to ensure vendors are paid accurately against Purchase Orders (POs). Stakeholder Support: Provide training and "how-to" support for hiring managers on the use of the VMS and program workflows. Build and maintain strong working relationships with third-party staffing suppliers and Managed Service Providers (MSP).Required Qualifications: Education: Bachelor’s degree in Human Resources, Business Administration, or a related field (or equivalent professional experience). Experience: 2+ years of experience in HR coordination, staffing, or procurement, specifically supporting a contingent labor or staff augmentation program. Technical Proficiency: Hands-on experience with a Vendor Management System (VMS) like SAP Fieldglass or Beeline is highly preferred. Software Skills: Intermediate to advanced proficiency in Microsoft Excel (vlookups, pivot tables) for data tracking and reporting.Key Competencies: Process Orientation: A disciplined approach to following workflows and ensuring no steps are missed in the onboarding/offboarding cycle. Extreme Attention to Detail: High accuracy in data entry and contract review to prevent billing or compliance errors.
