Location: Remote (Americas time zones preferred)Type: Full-time, exclusive (no other full-time job or ongoing clients) Hours: Aligned to U.S. Pacific Time (typically 8:00am–5:00pm PT, Mon–Fri; rare urgent flexibility around filing/trial deadlines) Compensation: USD $3,200–$3,700/month base + performance bonus + retention bonus (paid in USD) Non‐negotiables (read first)Pacific-hours coverage required (8:00am–5:00pm PT overlap) Near-native English (C1/C2 written + spoken) + short writing test Exclusive, full-time role (not a multi-client VA arrangement) About the roleI'm a U.S.-based plaintiff attorney and entrepreneur looking for one exceptional operator to become my right hand—someone who can turn priorities into execution and build the lightweight systems that keep everything moving. This is not a "task-by-task virtual assistant" role. It's a high-trust, high-autonomy execution role for someone who: thrives in a fast-moving environment, takes real ownership, communicates clearly, and quietly makes the chaos disappear. You'll work across two worlds: Executive support + operations (core), and Attorney-supervised legal ops / paralegal-style support (as needed), with occasional personal logistics that meaningfully reduce friction. What you'll own (the outcomes)You'll know you're winning when: My inbox is calm, controlled, and closed-loop (drafts, follow-ups, "waiting on" tracking). My calendar reflects priorities and protects deep work (not just meetings). Nothing "lives in my head"—deadlines, tasks, and next steps are tracked, owned, and executed. I get crisp, low-noise updates: what changed, what's blocked, what you need from me. Repeated work becomes repeatable (templates, checklists, SOPs, light automation). ResponsibilitiesLane A — Time & attention (Executive Assistant + prioritization)Inbox ownership: triage, draft replies in my voice, organize threads, follow-up tracking, "inbox to zero" cadence Calendar ownership: scheduling, time-blocking, confirmations, agenda prep, travel buffers, protecting deep-work blocks Weekly planning cadence: prepare priority list, clarify next actions, keep a clean task system with owners + deadlines Meeting readiness: agendas, pre-reads, summaries, and next-step capture Execution updates: concise daily/weekly status notes (no long narratives) Lane B — Execution engine (projects, systems, vendor coordination)Run light project management across active initiatives (law firm + business projects) Build and maintain templates, checklists, and SOPs (so we stop reinventing wheels) Coordinate vendors (scheduling, scope alignment, document collection, reminders, payment/receipt tracking) Improve the operating system: streamline tools, reduce rework, suggest automation where appropriate Lane C — Attorney-supervised legal ops / paralegal-style support (as needed) (No legal advice; attorney supervised; you help move files forward cleanly and consistently.)
