Job Title: Production & Events Administrator Reporting to: Head of Production Duration: Fixed Term - 10 months The role: The Production & Events Administrator provides vital administrative support to the Production Manager and wider productions department, ensuring smooth operational flow of all production-related activities. This role is the organizational backbone of our production team, maintaining crucial documentation, coordinating logistics, and supporting the delivery of magical experiences. Key Responsibilities: Administrative Management: Maintain comprehensive production documentation, including schedules, supplier contracts, and resource allocation Process purchase orders, invoices, and expense claims for the production department Create and update production schedules using project management tools Coordinate team meetings and maintain accurate minutes Manage the department''s filing system, both digital and physical Production Support: Assist in coordinating suppliers, contractors, and internal teams Support the creation and tracking of production budgets Help maintain inventory records of production materials and equipment Assist with risk assessment documentation and health 'safety records Coordinate travel arrangements and accommodation for production team when needed Event Administration: Support the administrative aspects of event planning and execution Maintain event-related documentation and schedules Assist in coordinating logistics for build periods and live shows Help track event-specific resources and requirements Support the creation of event briefing documents Communication & Coordination: Act as a central point of contact for administrative queries Liaise with various departments to gather required information Maintain clear communication channels between production team members Support the Production Manager with day-to-day administrative tasks Assist in creating reports and presentations for senior management Required Skills & Experience: Proven administrative experience, ideally in events or production Excellent organizational skills with strong attention to detail Proficiency in Microsoft Office Suite (particularly Excel and Word) Strong written and verbal communication skills Ability to manage multiple priorities and meet deadlines Experience with project management tools Basic understanding of production processes and terminology Desired Skills: Experience in events or entertainment industry Knowledge of health and safety regulations Familiarity with budget tracking Experience with scheduling software Understanding of production workflows Personal Qualities: Highly organized with excellent time management Proactive problem-solver Team player with a can-do attitude Calm under pressure Passionate about creating magical experiences Keen eye for detail Flexible approach to work Life at LaplandUK: At LaplandUK, we believe in the magic of collaboration, a steadfast commitment to excellence, and a team that''s always willing to roll up their sleeves and get involved.
