Join to apply for theAdministrator / Receptionist / FOH Reception Desk / Weekend / Saturdayrole atAluminum Window Designs Ltd3 weeks ago Be among the first 25 applicantsJoin to apply for theAdministrator / Receptionist / FOH Reception Desk / Weekend / Saturdayrole atAluminum Window Designs LtdSaturday Administrator / FOH Receptionistwith strong administrative, communication and IT skills and a passion for the arts is required to join a Community Arts provision based in Hedge End, Southampton, Hampshire.SALARY:£24,405 per annum FTE / Actual Annual Salary £4,242 per annum (based on 7.5 hours per week term time only)LOCATION:Hedge End, Southampton, HampshireJOB TYPE:Part-Time, PermanentWORKING HOURS:7.5 hours per week, Saturdays 8.30am to 4.30pm, term time only (39 weeks)Job Overview We have a fantastic new job opportunity for a Saturday Administrator / FOH Receptionist with strong administrative, communication and IT skills and a passion for the arts.Working as the Saturday Administrator / FOH Receptionist you will provide support for the Community Arts team, including administration and supporting the development and day to day organisation of the extensive and varied community arts programme.As the Saturday Administrator / FOH Receptionist you will have the opportunity to work with a wide range of disciplines as well as creating and developing your own skills and ideas which is a specific feature of this role.The Saturday Administrator / FOH Receptionist will be responsible for locking up the Art Centre and must be able to show initiative and understanding of arts in a community context.DUTIES Your Duties Will IncludeProvide a reception service that is welcoming to all everyoneAnswer telephone and check voicemail on a regular basis and answer messages by end of the day or pass on messages to relevant staff membersMain point of contact for all hirers when on shiftHave the daily space usage report to hand on every shift to adhere to fire safety regulationsEnsure that the reception area, foyer, coffee shop and gift shop areas are kept smart, tidy and welcoming at all timesTake payment for gift shop items, coordinate stock and keep shop displays tidyServe in the coffee shop, coordinate and update stockAssist in coordination of centre run activities; this includes telephone bookings, email marketing and website/social media updatesSupport in the running and delivery of centre run coursesDeal with enquiries from customers efficiently and record customer comments/complaintsTake payments for all activities, hirers and produce reports/registers as requested by managementTake payment for School Bookings and produce reports/registers as requested by managementGather resources needed for all centre-run activities and ensure all paperwork/photocopying is stockedBe responsible for production and circulation of staff noticesAssist in maintaining an efficient filing system for all activitiesGive recommendations on procedures to improve and/ or enhance systems of workProvide WP/DTP support as requiredLiaise with the Site Team regarding weekly community schedulesMinute taking when requiredBe responsible for the monitoring of centre run instructors and other adults leading community activities on the siteCandidate RequirementsStrong administration skillsExcellent verbal and written communication skillsGood knowledge of Microsoft OfficeA passion for the artsGood interpersonal skillsOrganised and able to prioritise own workKnowledge and previous experience of marketing, social media and a keen interest in the arts would be highly desirableBenefits Benefits of working for the trust include:Friendly and sociable colleaguesStaff membership rates to the modern Leisure CentreFree on-site car parkGood transport linksEnrolment in one of the UKs Largest public sector pension schemesA tax efficient Cycle-to-Work scheme through salary sacrificeThe school is committed to safeguarding and promoting the welfare of children and young people and expects all staff and volunteers to share this commitment.
