Admin Project Assistant Location On-site in Cambridge Employment Fixed Term Contract Job Summary We are seeking a Mandarin-speaking, highly organised individual with excellent communication skills and a consistently positive attitude to join our team as an Admin Project Assistant. The successful candidate will support the Project Manager in ensuring the successful delivery of a key project. This role requires a professional and proactive approach, with a strong attention to detail and a solid understanding of administrative processes. The ideal candidate will be well-prepared, responsive, and capable of taking ownership of tasks. Strong team-working skills are essential, as is proficiency in common software such as Microsoft Excel, PowerPoint, and Word. A high standard of written and spoken English is also required. Most importantly, the candidate should demonstrate a genuine commitment to supporting the needs of the wider project team. Key Responsibilities Organise and coordinate meetings, including scheduling, preparing agendas, and recording minutes Support the relocation process to ensure minimal disruption to daily operations Assist the Project Manager in tracking actions and ensuring timely completion Help prepare monthly project reports detailing status updates, delays, and key milestones Maintain accurate and timely records of all documentation Undertake other administrative duties as required Assist the Procurement Manager with supplier selection tasks, including: Prioritising and reviewing purchase requests, clarifying requirements with requestors Coordinating with business units to define supplier selection strategies Implementing the approved strategy and making final procurement decisions Placing orders, ensuring timely delivery, and resolving urgent delivery issues Support supplier qualification processes by: Liaising with potential suppliers to collect relevant information Coordinating supplier agreement negotiations Assessing supplier certifications and reporting findings to the Procurement Manager Requirements Fluent in Mandarin and English (written and spoken) Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) Strong team player with the ability to work in an international environment Results-oriented and well-organised, with a structured approach to work Excellent communication skills Desirable Experience in project management Background in procurement or purchasing Ability to work well under pressure and meet tight deadlines
