DescriptionOVERALL PURPOSEReporting to the Head of Facilities UK, the Facilities and Maintenance Assistant is to provide Facilities Services and general assistance, including but not limited to ensuring the building and facilities are maintained in good order, Guest Services, Hospitality, Post Room, printing, photocopying and binding and archiving services in order to support the smooth running of the office.WORKING RELATIONSHIPSThis role involves close and regular interaction with all members of the London office, external clients, business contacts as well as external vendorsKey ResponsibilitiesPRINCIPAL ELEMENTS AND ACCOUNTABILITIESCarry out a range of Facilities Duties following the Group Facilities Framework, including but not limited to: Liaising with all office and building service providers and landlord in respect of ongoing building maintenance;Mechanical, Electrical and PlumbingPest ControlOffice CleaningVendingProcure/repair Office furniture as and when requiredFirst line responder for call outs and out of hours planned maintenanceCarry out minor repairs to the fabric of the building (ie, repairing damage to walls)Support with office movesIdentify, report and mitigate any risks in relation to the general office environment Support the Head of Facilities UK with the regular reviews of supplier contracts ensuring agreed KPIs are met Assist with Budget Management by following procurement and approval policy, ensuring all invoices are correct before requesting approval for payment and updating the relevant FM Contracts and Budget trackers. Delivery of services within agreed budget at all times. Support the compliance of all Group and Local Health and Safety policies and legislative requirements Monitoring to ensure an appropriate level of First Aid and Fire Marshall cover exists in the office; Arrange refresher training for all First Aid and Fire Marshalls, keeping accurate logs, regular checks of First Aid supplies and Defibrillator Overseeing staff kitchenettes, ensuring clean, tidy and adequately stocked and all equipment is in working order Checking stationery supplies and ordering new stock, ensuring appropriate stock is held in the office at all times, in line with the approved stationery budget Responsible for the collection and delivery of the Companies Archiving requirements, keeping all trackers up to date and archiving portals live Providing updates, preparing statistics and requesting necessary support from the Head of Facilities UK as and when needed Regular site walks to identify any reactive works, collection of redundant IT equipment from desks, cupboards and print hubs waiting to be returned to IT department Supporting other team functions in absences or busy periodsQualifications And ExperiencePC skills – competence with Microsoft Outlook, Word, Excel, Teams and the Internet Browsers.
