Job Description

We have an exciting opportunity within our Coventry and Warwickshire Sexual Health Service for an experienced and enthusiastic administrator to join our friendly and welcoming team! As part of your role as a Bank Administrator/Receptionist, you will assist with the provision of the Sexual Health Hub and contribute to the effective running of the clinics through the delivery of administrative tasks. In the role, you will directly support the service by maintaining administrative systems and procedures, including reception duties, back-office support such as minute taking, managing incoming calls to the ‘Single Point of Access’ (SPA), and engaging in direct patient contact. The post holder must be proficient in computerised systems for booking and tracking patient appointments and electronic records, ensuring accurate and timely updates. You will work with clinical, non-clinical, and managerial teams to optimise appointment capacity and monitor patient appointment timeliness. While based at our Swan Centre in Rugby, there will be some travel required to other bases, including Leamington Spa and Coventry. All locations are accessible and centrally located. Main ResponsibilitiesResponsibilities include: Reception duties such as greeting, registering patients, booking appointments, and handling general enquiries from patients, healthcare professionals, and the public Using the Lilie patient management system to book, register, and track patients Dealing with telephone enquiries courteously and professionally Adhering to HCRG Care Group’s values and regional guidelines Maintaining a safe environment for all Participating in service development and supporting clinical teams as needed Supporting the Administration Team Lead with daily operational tasks to ensure efficient service delivery A full list of responsibilities is available in the attached job description. The Ideal CandidateThe ideal candidate will have / demonstrate: GCSEs or equivalent in Maths and English Ability to work collaboratively and build good relationships A mature, professional approach to sensitive health issues Strong organisational and prioritisation skills Effective communication skills at all levels Ability to multitask efficiently Sound knowledge of administration and reception roles Experience working in a multidisciplinary team Full UK driving license and access to a car You should also be confident with IT systems and have working knowledge of Microsoft Office (Outlook, Word, Excel).
