This is a full-time (37.5 hours per week, cross-site) Band 3 role, including covering Radiology reception areas.Weekend work is mandatory. The shift pattern varies, ranging from 07:45 to 19:30, including weekends on a rotational basis. We seek enthusiastic, patient-focused individuals with good communication skills, capable of working effectively both independently and as part of a team, and able to work under pressure. You will work alongside a team providing comprehensive administrative and clerical services within the main X-ray, Ultrasound, CT, MRI, and X-ray departments, welcoming patients and managing bookings at reception. Applicants must communicate effectively with patients and staff at all levels and demonstrate excellent customer care skills. Flexibility in shift patterns and teamwork are essential. Main duties of the job6 x Patient Access Coordinator - Band 3 Positions This role is within the Radiology Service, which employs over 185 staff across multiple modalities including CT, MRI, Ultrasound, Pain Film X-Ray, Fluoroscopy, and Interventional Radiology. It also manages locations within the Evelina Unit for pediatric scans and areas within the Cancer Centre outpatient department. The Patient Access Coordinator will be the first point of contact for patients and service users, providing in-depth knowledge of outpatient and inpatient scheduling procedures. They will liaise closely with clinical and management teams to ensure patients receive timely and appropriate appointments according to their care pathways. Weekend work is included. Job responsibilitiesMain Duties: Act as the first point of contact for all patient access queries. Ensure vetting of referral letters follows departmental guidelines. Schedule outpatient, elective admissions, and related appointments based on clinical urgency and wait times, following departmental and trust policies. Communicate with patients prior to visits to agree on convenient dates and times. Remind patients of appointments via letters or telephone up to seven days prior. Ensure departmental standards for notification and acknowledgment of visits are met. Provide courteous, efficient service face-to-face and over the phone. Treat each patient as an individual, meeting their specific needs, including arranging support such as interpreting services. Cover reception and face-to-face areas, including weekend shifts. Person SpecificationQualifications/EducationGood general education, GCSE in English and Maths or equivalent, or relevant NVQ Level 3 or experience. Experience in a customer-focused environment, handling challenging situations and difficult customers. Experience working autonomously and in teams. Knowledge of medical terminology. Experience in NHS administrative roles. Skills/Knowledge/AbilitiesExcellent organizational skills, able to prioritize and manage workload efficiently. Understanding of equal opportunities and confidentiality. Proficient in Microsoft Word, Excel, and Outlook. Excellent communication skills, capable of relating to diverse audiences, conveying sensitive information tactfully, and providing non-clinical advice to patients. Knowledge of key waiting time targets, including the 18-week target. Familiarity with hospital systems such as PIMS.
