Job Description Job PurposeThe reception will be the first point of contact people have with Nishkam Centre. This is an important role that will set the tone for Nishkam Centre’s relationship with each client. The main role is to welcome all building users, who could be customers, visitors, staff, or tenants, both in person and over the telephone. ConfidentialityConfidentiality is essential within this role. It is best practice and necessary for compliance with Data Protection legislation. No personal details of visitors, staff, volunteers, or members should be shared or left visible without the specific permission of the NCA Managing Director. ResponsibilitiesGreeting visitors and directing them appropriately Engaging positively with individuals from diverse communities Providing information and answering inquiries Answering calls, taking messages, and passing them via email, phone, hand, or CRM system (Zoho) Raising tickets and inquiries on CRM (Zoho) Redirecting phone inquiries as needed Maintaining a clean and organized reception area Organizing reading materials Ensuring sign-in sheets are available and procedures are followed Maintaining up-to-date information displays Collaborating with Nishkam team and other functions Supporting administrative requirements Acting as fire marshal and managing first aid/accident reports Qualities of a ReceptionistStrong interpersonal and communication skills Friendly, confident, and approachable Good organizational skills and multitasking ability Ability to prioritize workload Initiative and adherence to guidance Enjoys meeting diverse people Calm under pressure and able to handle difficult situations Embodies Nishkam values Well-presented and warm personality Health and SafetyComply with health and safety policies Ensure awareness of safety obligations among learners Professional DevelopmentUndertake mandatory and relevant training Standard ExpectationsOperate within NCA's Equal Opportunities policies Work with safety and statutory requirements Represent NCA positively Maintain records and perform administrative duties Perform other duties as reasonably assigned Conditions and ArrangementsAdhere to lone working policies Safeguard children and vulnerable adults Post duties may vary with business needs and will be reviewed regularly RequirementsCriteria Essential (E) 4 GCSEs including Maths and English at Grade C or above Experience Experience in administrative/reception roles, working in busy environments, managing multiple tasks, providing customer care Skills and Abilities Good communication, proficiency in MS Office and CRM, teamwork, organizational skills, commitment to equality, suitability to work with vulnerable groups, fluent English, additional languages advantageous Other Driving license and access to a car#J-18808-Ljbffr
