The role provides administrative and file management support across the team. Work will come either directly from the fee earner or through the work allocated by the Practice Assistants. The role is accountable for establishing and maintaining an ongoing service-based relationship with the team they support recognising and translating the needs and expectations into a responsive service.What does the role involve? Liaising with PA to support Client & Marketing activities such as scheduling tender meetings, directory interviews, and client training. Entering, maintaining, and updating Interaction with new prospects, clients, contacts, activities, and business development info. Ensuring knowledge of client-specific protocols and incorporating these into practices. File management: updating, maintaining, and ensuring correct filing and naming conventions (both electronic and paper). File opening and closing: setting up and archiving matters on relevant systems, ensuring compliance. Assisting the PA with organising internal and external events, seminars, and conferences, including booking travel and materials. Managing promotional goods inventory and stock levels. Making room and taxi bookings, organising deliveries, courier requests, and other ad hoc tasks. Supporting document processing such as printing, copying, and scanning. Collaborating with team members to meet deadlines and manage workloads. Answering internal calls and liaising with team members for work instructions. Supporting billing and expenses as needed. Managing priorities and deadlines, escalating challenges to PA and PSM. Creating and uploading information to client data rooms per instructions. Producing court bundles according to instructions and court rules, including printing, copying, and arranging delivery. Verifying data accuracy and ensuring compliance with policies including Lexcel and Information Security. Handling post and emails, ensuring proper filing of client correspondence. Participating in team meetings and liaising with fee earners and practice assistants. Updating service users on progress and offering assistance proactively. Technical skills requiredRelevant office-based administration experience. Experience with document and case management systems. Intermediate knowledge of Microsoft Office.
