Admin and Finance Officer in Housing ServicesPay Rate Hours 36 Hours a week (Mon-Fri) 9AM-5PM Duration Initial 3 Month Contract Location Description Job PurposeTo provide comprehensive finance and administrative support for Housing Services across Wandsworth and Richmond Councils. Manage supplier accounts for temporary accommodation.Responsible for the administration of online housing applications, orders, and invoices for the section. Specific Duties and Responsibilities1) Verify invoices received by Housing Services from accommodation providers with an estimated annual value of £25m. Resolve any discrepancies over incorrect charges or incomplete invoices, ensuring timely resolution to prevent financial loss. Escalate suspicious transactions to the appropriate manager.2) Verify invoices received from suppliers of goods and services, resolving discrepancies directly with external suppliers. Ensure credit notes are received where appropriate before payment authorization.3) Liaise with temporary accommodation and property management teams regarding unresolved invoice discrepancies, monitoring queries to avoid delays in payments.4) Coordinate with temporary accommodation providers to ensure clients sign in according to procedures and match invoices prior to payments. Escalate issues of non-compliance to management.5) Input all invoices into Council systems to ensure authorization and payment within agreed timescales.6) Manage all administration related to payments for the housing mobility scheme, including liaising with financial departments and communicating with clients to ensure documentation and bank details are current.7) Oversee the prompt payment of Council Tax and Utilities bills for void periods in leased properties using the Capita Integra system. Verify billing periods and request new bills if necessary.8) Handle administration for the receipt and initial verification of Part VI Housing Application forms, both online and paper submissions.9) Ensure accurate indexing of all received documents into the correct housing applications using the W2 system and alert relevant teams.
