Job Description

Essex Lodge Surgery is seeking a full-time experienced GP receptionist to work evenings, with excellent communication and customer service skills, to join our friendly team. Our Receptionists handle daily patient contact, including incoming calls for appointments and inquiries, welcoming patients, and supporting GPs and Nurses by keeping patients informed about their health. We are looking for an enthusiastic, professional, clearly spoken receptionist with experience working in a busy GP surgery using EMIS WEB Clinical System. Full training and support will be provided to the successful applicant. Main duties of the jobJob summary: The role's purpose is to: Offer general assistance to the practice team and project a positive, friendly image to patients and visitors, in person or via telephone. Assist and direct patients to appropriate services or healthcare professionals courteously and efficiently. Perform administrative duties to ensure the smooth operation of the reception area, including clerical support to clinical staff and other team members. Call and recall duties are also included. About usEssex Lodge Surgery, established in 1975 and relocated to its current premises in 2000, is housed in a grade-2 listed building with a purpose-built extension completed in 2018. The surgery is part of NHS Newham Integrated Care Board and a member of the Newham Central Primary Care Network (PCN). We serve approximately 17,500+ patients under a Personal Medical Services (PMS) Contract. The practice has been a GP training and teaching practice since 1985, with GP trainers and registrars. We also provide training for physician associates and medical students from Queen Mary University of London and King's College London, emphasizing training and development as core to our ethos. Job responsibilitiesDuties and responsibilities: Maintain and monitor the practice appointment system. Handle personal and telephone requests for appointments, visits, and consultations, directing callers to appropriate healthcare professionals. Process appointment requests in person for same-day or future appointments. Use judgment and communication skills to manage urgent cases logically and non-disruptively. Make and receive telephone calls, divert calls, and take messages accurately and promptly. Deal with home visit requests. Ensure 2-week wait referrals are emailed promptly, tracked, and filed. Check the 2-week wait folder daily. Manage patient notes and correspondence, retrieving and re-filing records in strict alphabetical order. File correspondence, reports, and results promptly and ensure recent documents are available during patient visits. Keep records in good repair, with clear external labels. Register new patients promptly and accurately on the system. Explain practice arrangements and requirements to new patients and temporary visitors, completing necessary procedures. Verify and update patient contact details, including address, phone numbers, next of kin, and carers. Process requests for changes in patient details. Enter patient information into the computer system as needed. Handle incoming and outgoing mail. Take and pass messages, and manage the surgery's email accounts, forwarding messages as necessary. Promote NHS initiatives like Friends and Family questionnaires. Scan correspondence accurately into electronic medical records. File and retrieve paperwork efficiently. Process repeat prescriptions according to practice guidelines, handing them to patients and verifying details. Perform data entry, allocation, and collation in line with practice procedures. Initiate and respond to requests from patients, healthcare providers, and team members. Provide clerical support, including word processing, filing, photocopying, and scanning. Monitor stationery and supplies, placing orders as needed. Provide refreshments for staff and visitors when required. Maintain the tidiness of the reception area, notice boards, and leaflet dispensers. Undertake any additional duties as reasonably requested by the partners or practice manager. Confidentiality: Respect patient confidentiality and handle sensitive information responsibly. Only share information with authorized persons, following practice policies and legal requirements. Health 'safety: Promote and maintain health, safety, and security at work. Use security systems appropriately, identify risks, and undertake activities safely. Participate in infection control procedures and maintain a clean, hazard-free environment. Report hazards immediately. Attend infection control training annually.
