Powered by cutting-edge technologies and supported by a team of regulatory, quality, and clinical operations experts, ARC360 is designed to accelerate the initiation of complex clinical trials.Job DescriptionWe are seeking a highly organized and detail-oriented Administrative Assistant on a 6 months FTC to support our team by performing a variety of administrative and clerical tasks. The ideal candidate will be proactive, efficient, and able to handle multiple tasks with a high level of accuracy.General office administration. Support of company suppliers; co-ordination and processing of purchase orders, supplier invoices, ordering of office supplies etc.Support with maintaining files and databases in a confidential manner.Support with the H&S function and maintaining various H&S records (Remote DSE Assessments, IT Equipment forms, etc.)Co-ordination of consultants' travel arrangements, booking flights, hotels, collating time sheets and expense claims.Ensure Timekeeping Software is updated weekly to track project progress, time allocation, and invoicing data.Organisation of company events – training/seminars/promotional events.Manage company telephones, ensuring contracts are up to date and costs are controlled.Any other duties, within reason and capability, as determined by company management to ensure the efficient running of the business.Essential CriteriaMinimum 5 GCSEs to include Maths and English to at least grade C (or equivalent)2 years minimum in a prior administrative roleManagement of Filing System Maintain calendars and schedule meetingsManage communication including emails and phone callsProficient in Microsoft Office Suite (MS Teams, Outlook, Excel, Word, Powerpoint)Excellent interpersonal skills & excellent communication skills, both verbal and writtenProven ability to maintain confidentiality of business and personal information both internally and externallyEvidence of well-developed organisational, planning and time management abilitiesAbility to Multi-task with a strong attention to detailProven ability to working independently and on own initiativeWhy Join ARC Regulatory?Competitive Salary32 days of annual leaveEmployer pension contributionsOffice located in Catalyst Belfast – a hub of innovation
