This role spans financial administration, reporting, cash flow management, office and travel coordination, and diary management, to help the co-founders to run the business.The ideal candidate has excellent attention to detail and organisational skills, is proactive, and is driven to grow at a scaling up business. Play a vital role in supporting the leadership team and improving processes and systems at a dynamic and exciting business.Financial ManagementPrepare monthly management accounts alongside our external accountant (P&L, balance sheet, cash flow)Assist with budgeting, and financial planningOversee the purchase and sales ledger, raise invoices, and manage bill paymentsPrepare, send and follow-up on invoices over email or on the phone when required (approx. 300 per year)Send payments to suppliers including contractors, run payroll if requiredReconcile all financial transactions on Xero Monitor cash flow and provide updates to managementSupport VAT returns, PAYE, and corporation tax complianceLiaise with external accountants for year-end accounts and auditsProvide financial analysis on profit margins, supplier spend, and marketing/sales effectivenessManage freelancer costs and other key company expensesSupport the implementation of process improvements and financial controlsOperations & Office ManagementManage day-to-day office operations, including supplies, contracts, and vendor relationshipsManage expenses for 30 staff members, upskill others to complete their invoicing correctlyRun international travel bookings (flights, trains, accommodation) for team membersHandle international logistics, such as camera equipment shipments, visas, and carnet submissionsManage diaries for senior leadership, ensuring efficient schedulingAssist with onboarding new clients and suppliers, including form submissions and contractsLiaise with external lawyers when required Organise monthly team meetings, activities, and occasional social events including birthdaysSkills & ExperienceFinance or executive assistant experience, ideally within a fast-paced and growing businessExcel skills and familiarity with financial systems (Xero, Dext, QuickBooks, etc.)Financial qualifications, either qualified or part-qualified (ACCA, CIMA, ACA, or equivalent) is desired but not essentialSolid understanding of VAT, UK accounting standards, and financial principlesExcellent organisational and multitasking skills, with strong attention to detailConfident communicator, comfortable working with finance and non-finance colleagues alikeProactive to help others, to implement process that make the company more efficientExcellent relationship builder, both for internals and externalsFamiliarity with payroll, pensions, or HR processes (desirable)Experience working with cloud-based systems and process automation (desirable)The Offer28,000 - 32,000 salary (depending on experience)Full-time MondayFriday, with hybrid working options28 days holiday (including bank holidays) + birthday off + extended Christmas breakCompany perks, including monthly wellness allowance, Friday lunch allowance, home office allowance, and free daily coffee from the office cafAnnual bonus scheme (up to 10% of salary, linked to company and personal performance)Regular professional development opportunities, including bi-annual reviewsTeam socials and London Filmed merch (T-shirts, Q-zips, water bottles)
