The role The Resource Assistant will play a pivotal role within our Design Department, reporting to the Head of Resource and working closely with them and the Resource Manager within the Design team. Key responsibilities Support the Resource team by matching staff and skills to project tasks, ensuring quality output. This will initially be across House and internal projects, progressing to client work when appropriate. Work alongside ArtLab Managers to open and reconcile jobs and create job folders. Manage admin processes for freelancers across Design & ArtLab, including finding talent, updating the little black book of freelancer details, completing IR35 assessments, gaining internal approvals, and setting up freelancers on relevant systems. Onboard new freelancers or staff members, showing how to log time and checking that its completed at the end of each week. Report freelance actuals to HR & Finance at the end of the week. Arrange New Supplier, Freelance, and NDA forms for any new independent freelancers. Assist with financial admin including chasing POs, chasing job number setups, and ensuring estimates and costs are added to relevant systems where appropriate. Enter and track holidays into the resource system. Assist with any intern/work experience itineraries. Send out bi-weekly timesheet reminders to staff and check theyre completed correctly. Keep ICPs updated about their booking status and chase pencils. Provide holiday cover for other team members and assist with additional resource requests and job setup admin. Skills & Experience Strong administration skills and great attention to detail. An interest in design and/or artworking, with experience in Google Slides and/or Adobe CC preferable. A self-starter who is independent and resourceful. A great communicator and negotiator. Passionate about what you do and how you can influence brilliant creative output. Excellent customer service skills and the ability to quickly build relationships both internally and externally.
