Job Title: Front of House & Admin CoordinatorLocation: Harley Street, LondonContract Type: Full-time (40 hrs/week) / Part-time option (32 hrs/week)Hours: Monday to Friday, 9am6pm + occasional SaturdaysAbout the RoleWere looking for a polished Front of House & Admin Coordinator to create exceptional first impressions and support daily operations within a luxury aesthetic and surgical setting.Key Responsibilities:Welcome and check in clients warmly, creating a professional and comfortable environmentManage appointment schedules and patient communications seamlessly via phone, WhatsApp, and emailCoordinate patient journeys, from pre-treatment instructions to post-treatment careHandle payments, consent forms, and aftercare packsKeep the reception area impeccable and aligned with luxury standardsSupport admin duties including stock management, deliveries, audits, and document complianceAssist with patient photography, online reviews, and CRM communicationsSkills & Attributes:Outstanding interpersonal and communication skillsDiscreet, empathetic, and confident handling VIP patientsImpeccable attention to detail and high standards of presentationProactive, team-oriented, and solutions-focusedExperience in clinical, aesthetic, or luxury hospitality settings preferredRequirements:Confident using clinic software (e.g., Pabau, CRM/EMR systems)Proficiency in MS Office; photography experience a bonusKnowledge of CQC protocols or surgical practice is a plusExcellent written and spoken English; other languages a bonusBenefits:Competitive salary from £32,000 + incentives, based on experienceStaff discounts on treatments and productsOngoing training and CPD opportunitiesCentral location in Harley Street, with a high-end working environment
