This is an office based role, primarily within our Macclesfield office, with ad hoc visits to our Manchester City Centre office as required.The successful applicant will be a confident communicator with great attention to detail and organisational skills. You will have experience working as part of a team and managing your own time to meet deadlines. Attention to detail is critical in this role, as is a knowledge of Microsoft Office programmes. You will have ideally worked in an administrative role in a professional services business and be confident in your approach.Day to day responsibilities will include, but are not limited too:OFFICE ADMINISTRATIONPurchase Order and Vendor ManagementOrdering and maintaining kitchen, stationery and office equipment needs (including IT equipment)Assisting with the organisation of social events and wellbeing initiativesSetting up meeting rooms and organising catering as requiredLiaising with external contractorsAssisting the UK Group Facilities & Office Manager to ensure the site complies with health and safety legislationMaintaining and updating databases and systemsDealing with travel information requests such as booking travel (flights, taxis etc)Dealing with our travel suppliers and processing expensesCompleting administration of financial tasksSupporting Studio with Admin tasksRaising Purchase Orders/ Invoicing - Generating Purchase Orders upon request for Production Projects and sending these to the supplier.Media Licensing Ordering Images, Videos, Audio and models from various suppliers upon request from agencies/studio colleagues.Logging data on to various spreadsheets for record keeping and tracking.COMMUNICATIONResponding to queries from the public, customers etc, both face to face and via the telephoneDealing with internal and external written communications (post, emails etc) on a day-to-day basisResponding to general queries from employees, signposting them to the appropriate information or member of staff as appropriateWelcoming visitors and suppliers, and overseeing deliveriesIf you would like to join an award-winning business with opportunities for career progression and a great benefits package, we would love to hear from you.To Apply or Contact UsApply by clicking the link below.IPG Health Medical Communications is home to the worlds most celebrated and awarded med comms agencies, united by a healthy obsession with creating exceptional medical communications for our clients.
