Job Title: Business Systems ManagerLocation: Victoria, LondonSalary: £40,000Type: Full-timeAbout the Role:We are seeking a proactive, detail-oriented Business Systems Manager to lead the day-to-day operations of our IT function. The ideal candidate will have a strong technical background combined with excellent organisational and administrative skills. This is a hands-on role that will involve overseeing software and hardware systems, managing vendors and subscriptions, maintaining system integrity, and leading a small IT team.Key Responsibilities:Technical Operations –-         Administer and monitor software systems, IT infrastructure and legacy IT systems.-         Manage and maintain Windows Server environments, including Active Directory and VMWare.-         Adept at managing and supporting ERP systems, with experience in configuration, integration, and ongoing administration.-         Ensure database integrity, performance, and backups for Microsoft SQL Server.-         Oversee AWS infrastructure, ensuring uptime, efficiency, and cost-effectiveness.-         Provide basic coding support for small internal tools or scripts (e.g., automation, integration tasks).-         Manage and test regular backups for all databases and critical systems to prevent data loss.-         Overseeing the IT outsource team.System & Access Management –-         Manage user accounts, logins, and permissions across all platforms and software.-         Ensure access levels align with job roles and company policy.-         Regularly audit system access and ensure compliance with internal data protection standards.Administration & Documentation –-         Maintain accurate documentation for system configurations, updates, and IT processes.-         Record all software upgrades, hardware changes, and infrastructure adjustments.-         Track all IT-related subscriptions, monitor renewal dates, and assess alternatives for cost-efficiency.-         Prepare and manage monthly IT expense reports.Team & Stakeholder Collaboration –-         Liaise regularly with other departments to understand and support their technical needs.-         Supervise and mentor IT team members, providing guidance, training, and performance management.-         Ensure the team responds to issues in a timely, professional, and effective manner.Key Requirements:Technical Skills –-         Proven experience with Windows Server administration, Active Directory, and VMWare.-         Hands-on knowledge of Microsoft SQL Server and cloud services such as AWS.-         Basic coding or scripting experience.-         Understanding of network and systems security best practices.-         Familiarity with Zoho software is a plus, as our organisation recently migrated to this platform or equivalent ERP system.Organisational Skills –-         Excellent documentation and record-keeping abilities.-         Ability to manage IT budgets, subscriptions, and reporting.-         Process-driven and proficient at maintaining policies, compliance, and structured processes.Soft Skills & Management –-         Excellent communication skills with both technical and non-technical stakeholders.-         Experience managing or supervising a small team.-         Proactive mindset with a problem-solving attitude.-         Ability to manage multiple priorities and deadlines.Desirable (but not essential):-         Degree in Information Technology, Computer Science, or related field.-         Professional certifications such as AWS, Microsoft, CompTIA, or VMware.-         Experience working in a multi-site or international organisation.What We Offer:-         Opportunity to lead and grow an in-house IT function.-         A collaborative work environment with cross-departmental engagement.-         Exposure to a variety of modern technologies and platforms.-         Professional development support.At Alain Charles Publishing, we prioritise innovation, collaboration, and professional development.
