Job Summary:We are currently looking to hire an Absence and Time Administrator to be part of the HR Shared Services team on a Fixed Term contract initially for 12 months with a possibility of going permanent. Reporting to the Time & Attendance Team Leader, you will be responsible for processing and administering the monthly and weekly Time and attendance submissions across the gategroup businesses in the UK and Republic of Ireland.Main Duties and ResponsibilitiesProcess and maintain absence records and balances for all New Hires / Leavers / Job Changes accurately e.g., number of hours, reasons, etc. in WorkdayManage all related incoming and outgoing communicationReview audit reports to ensure data accuracy.Create required reports accurately in a timely mannerProvide advice to employees and managers in relation to all aspects of Absence & Time??Ensure Absence and time procedures and policiesare adhered to at allAssist in providing training to new managers and unit administrators.Update and create SOP’s, User Guides, etc.Gain a comprehensive understanding of Workday and how all modules integrate e.g. HCM, Time, Absence, PayrollRaise Workday tickets and action full system testingSupport month end processes for data readiness to PayrollProcess and maintain Time records in WorkdayAdd / maintain / modify shift patterns in Workday to reflect contracted hours.Analysis of exceptions and take ownership to escalate and resolve.Create Employee ID CardsRun & Validate Monthly reports and communicate to senior management i.e. GM & HR.Deliver a first-class administration service within the teamAny other duties deemed necessary and providing support across the HR Shared Service Team and the wider business.Qualifications and Experience: Education:GCSE Math’s/English level or equivalentWork Experience: Previous experience of working with a Time and Attendance system. Workday Time & Absence experience is advantageous, however not essential.Understanding of complex employment terms and conditionsSkills & Knowledge:Knowledge of Workday preferableProficient with MS Office (Word, Excel,).Excellent written and spoken communication skills in English.Ability to flex communication styles and approach to engage with stakeholders at all levels of the organisation.Ability to explain calculations and methodology to internal stakeholdersOrganized, methodical and self-motivated with strong attention to detail and accuracy.Must always demonstrate a high level of integrity, confidentiality, and professionalism.Confident individual, a quick learner and with the ability to work on their own initiative as well as part of a wider teamNumerate with good excel and system skills.Ability to work to tight deadlines, under pressure and remain calm.Problem solving and Analytical skills with the ability to breakdown complex matters, communicate findings / solutions in a consistent and professional manner.All applicants must have the right to work in the UK, undertake a CRC (Criminal Record Check) and provide 5 years of checkable referencing history.
