Are you super organised and love scheduling work through a busy creative studio. Working closely with three different departments within this agency (the content design studio / conceptual creatives and the data 'strategy teams) along with the Studio Manager to manage resourcing, and the smooth running of these departments. Ensuring that projects are scheduled efficiently, work is allocated correctly and that projects are completed within time, budget and internal quality control processes are followed correctly. You will have excellent communication skills, a natural organiser and a forward planner. Somebody who thrives under pressure and loves to multi-task and manage processes. This roles core responsiblities are managing and trafficking requests from the account managers to schedule in work with the studio across integrated services. Dealing with 150 + emails a day at times, you will be a friendly and capable plate spinner! Core Responsibilities and Capabilities:Taking booking requests for our content studio consisting of 2D and 3D Motion Designers / Animators, Graphic Designers, Videographer and Photographer using our scheduling software (Float).Liaising with account teams throughout the lifespan of a project.Matching briefs to the correct skillset of Designer / Creative.Delivering briefs and making sure everyone has the time needed to deliver a high standard of work.Checking on progress and flag any issues to the account teams / Heads of departments / Studio Manager.Prioritising the most business critical work.Working closely with the Studio Manager for smooth running of all departments.Being able to forward plan and flag when there is the possible need for freelance resource.Always keeping a calm head when working in this very busy department. Exceptional attention to detail.Start to explore strategic resourcing and not simply adding in time with the next available creative.Level of experience:A minimum of 2 year’s experience in a similar role.Previous agency experience in creative ideal.Full JD – subject to change as we progress and decide what is needed within the teams and what the split will beTaking booking requests for Design, Motion, VideoBooking these projects into Float (scheduling software) for content design studio.Checking RMT (an agency used resource tool) for scheduling hours for Creative and Data & Analytics team members. Running weekly reporting on RMT hours for the teams.Running monthly time reports to flag over-servicing.Check in on all pencilled bookings to make sure they are going ahead, and we will have the brief submitted on time.Moving time around depending on project timelines.Prioritising the most business critical work.Managing booking times with account managers.Chase the account teams for briefs ahead of their booked in work.Update them on their booking as we go through production.Once briefs are in, check in SAP to make sure that relevant job codes are set up for each department.Sending briefs out:Content design studio:Checking in with the designer:To check progress and to make sure we will hit the deadline.If the designer needs more time, communicating this to the account teams to make sure they have visibility of any delays / more time needed.Making sure our internal QC process has been followed and that the work has been checked by a Brand Guardian. Make sure all work has gone over in good time.Marking off completed briefs in Float once done.Always knowing what each designer is always working on to keep track on their work.This aides to know when they will be available for a new brief.Informing project teams of any holiday requests clashes with time booked on their project, or if it conflicts with any milestones and deadlines.Having team catch ups to run through workload and action anything that might come out of it.Making sure everything runs smoothly and efficiently.Keeping a clear head when dealing with multiple requests from several account managers.Being able to prioritize a busy inbox.
