Job Purpose:The Event Operations Manager (MAT cover) plays a crucial role in the successful delivery of everywoman and AllBright events, having operational responsibility for the delivery of selected Awards programmes, nomination events and Forums in both virtual and in-person formats. They will manage relationships with speakers, delegates, sponsors, award finalists, table sponsors, suppliers and co-ordinate all onsite and virtual event activities. Events are at the heart of what we do, therefore we are looking for a keen, energetic Event Operations Manager with strong attention to detail to support the delivery of high-quality event in a busy operations department.Please note, while the role is logistics focused, we are a small team so a conference production/content background would also be considered.Responsibilities:Conferences/ForumsMaintain an ongoing project overviewNegotiate with suppliers and keep to budgetManage event registrationManage and brief external contractors relevant to the event e.g. film production, photography, stage-set, audio visual and exhibitor standsManage sponsorship deliverables Manage food and beverage requirements and venue briefProduce banners, signage and display boards when requiredProduce printed literature including delegate/speaker lists, brochures, handouts and evaluation formsCreate event presentations (PowerPoint)For virtual events – manage the live experienceLiaise with sponsors for event deliverables as agreed; web/brochure statements, logosLiaise with speakers/trainers regarding contracts, assignment schedules, requirements, presentations and handouts and on the day briefing documentsBrief speakers/trainer to ensure workshops and training sessions are conducted in accordance with everywoman standardsManage on-the-day logistics, including presentation, rehearsals and managing a registration teamManage Post Event Communications and DebriefAwardsAwards nomination process – maintain files, confirmation emails and all related queriesCorrespondence with judges/finalists in relation to the awards schedule, judging process, interview dates, biographies and photosDeliver Awards Judging Days – preparing judges packs, onsite materialsCreate related event materials such as evaluation forms, PowerPoint presentation templates, briefing documents, delegate lists and event collateralManage and brief external contractors relevant to the event e.g. film production, photography, stage-set, audio visual and exhibitor standsProvide clear and precise briefs to the Design team and Copywriter to ensure assets are delivered on-message and with ample time for event promotionManage Venue BriefProduce banners, signage and display boards when requiredOversee delivery and production of awards brochuresCreate Awards presentations (PowerPoint)Liaise with sponsors for event deliverables as agreed; web/brochure statements, logosLiaise with speakers, awards presenters, Awards compere, entertainment and brief on the dayManage on-the-day logistics, including presentation, rehearsals and managing a registration teamManage Post Event Communications, Analytics and DebriefGeneral Responsibilities:Undertake any additional duties as reasonably directed by managementAdhere to company practices, policies and proceduresEnsure good communication with all colleagues, ELT and SLTPerson Specification:3+ year’s event management experience Experience with both Awards and Conference production Excellent communication skills both verbal and writtenStrong administrative skillsStrong project management skillsStrong negotiating skillsExperience of the following IT tools – In-design, Canvas, WordpressAdvanced proof-reading skillsAdvanced Word, Excel and PowerPoint Team player – an all-rounder with a positive ‘can-do’ attitudeHigh energy and proactiveOutgoing and enthusiasticArticulate and a fantastic communicatorAble to work well under pressure as you will be joining during a busy periodPassionate about delivering high quality events Passionate about everywoman’s and AllBright’s missionDemonstrate and align with our internal values: Innovative and Ambitious, Inspiring and Inclusive, Curious and Results Driven
