Job SummaryThe Database Manager is responsible for the overall management, maintenance and improvements of the Raiser’s Edge / RE NXT CRM system. This role ensures the accuracy and integrity of the data, supports fundraising efforts, and provides training and support to staff. Additionally, the Database Administrator will oversee the daily operation, security, and accuracy of JNF UK’s CRM system. Key ResponsibilitiesDatabase Management & IntegrityOversee the daily operation, maintenance, and security of Raiser’s Edge / NXTConduct regular audits and quality control checks to eliminate inconsistenciesLead data standardisation efforts for campaign assignments, constituent records, and financial reconciliationImplement de-duplication protocols and improve data entry processes.Project Management & CRM OptimisationLead a structured CRM improvement project in collaboration with consultantsDevelop a roadmap for database enhancements aligned with organisational goalsLiaise with internal teams, external consultants, and Blackbaud support to implement system improvementsMonitor and track progress against objectives, reporting to senior management.User Support and TrainingProvide training and guidance to staff on Raiser’s Edge / NXT usageMonitor user practices and perform audits to ensure consistency and accuracy.Process DocumentationDevelop and maintain comprehensive documentation for all CRM-related activitiesEnsure data entry, reporting, and appeal procedures are clearly outlined and up to date.Data SegmentationProvide data segmentation for appeals and email campaignsClean extracted data and identify inconsistencies such as unlinked records and duplicatesCollaborate with fundraising and marketing teams to support campaign execution.CRM Automation & IntegrationImprove workflow automation to reduce manual financial entryManage integrations with external platforms (email marketing, finance, donations)Coordinate upgrades with minimal disruption to operations.Reporting, Analysis & Strategic InsightsGenerate data reports and analytics to support leadership and campaign decisionsProvide insights into donor trends and fundraising effectivenessEnsure compliance with all reporting standards.Compliance & Data ProtectionEnsure GDPR, HMRC Gift Aid, and PECR compliance in all data practicesWork closely with JNF’s Data Protection Officer to enforce consent and data tracking best practicesResolve invalid Gift Aid records to maximise income and ensure compliance.Relationship ManagementLiaise directly with donors and supporters to update records, respond to data-related queries, and maintain accurate engagement historiesAct as the primary point of contact with Blackbaud and other CRM vendorsAlign CRM strategy with organisational priorities in coordination with senior leadership.Qualifications & SkillsDemonstrable experience managing Raiser’s Edge / NXT or similar CRM systems, database restructuring/optimisation, automation, and process improvementProficiency in data management, donor segmentation, confidence in working with large datasetsExperience in supporting charities and fundraising teams in a data roleStrong analytical and problem-solving skills, with the ability to extract actionable insightsExperience of writing process guides or other user documentationExpertise in GDPR, HMRC Gift Aid, and nonprofit fundraising complianceProficiency in Microsoft 365 applicationsStrong communication and training abilitiesProject management skills and the ability to multitask.
