Job Description

Ash Surgery is looking for a bright, friendly, self-motivated, responsible, and reliable individual to join the reception team in this friendly and supportive practice. We are currently seeking at least one part-time candidate to join our reception team. There will be opportunities for extra hours, personal development, and progression within the surgery. Main duties of the jobThe following are the core responsibilities of the receptionist: Process personal, telephone, and e-requests for appointments Answer incoming phone calls, transfer calls, or deal with the caller's requests appropriately Signpost patients to the correct service Initiate contact with and respond to requests from patients, team members, and external agencies Photocopy documentation as required In addition to the primary responsibilities, the medical administrator may be requested to: Provide support to the clinical team Scan patient-related documentation and attach scanned documents to patients' healthcare records Complete opening and closing procedures Support the prescribing clerk in managing repeat prescriptions, ensuring they are processed accurately and efficiently About usAsh Surgery is a traditional GP Practice located in the heart of rural East Kent, near Canterbury. We are a close-knit team comprising 2 Partners, one salaried GP, a paramedic practitioner, and a nursing team with one Practice nurse and three HCAs. Our administration team works closely with the clinical team to support each other and deliver excellent patient care. Job responsibilitiesThe following are the core responsibilities of the receptionist, with occasional additional tasks depending on workload and staffing: Maintain and monitor the practice appointment system Process personal, telephone, and e-requests for appointments Answer incoming phone calls, transfer calls, or handle requests appropriately Signpost patients to the correct service Initiate contact with and respond to requests from patients, team members, and external agencies Read code data on EMIS Web Photocopy documentation as required Enter data for new and temporary registrations and relevant patient information Input data into patients' healthcare records as necessary Handle requests for information such as SAR, insurance, solicitor letters, and DVLA forms Manage queries efficiently Perform system searches as requested Maintain a clean, tidy, and effective working area Monitor and maintain the reception area and notice boards Support clinical staff with general tasks as requested In addition, the medical administrator may be asked to: Participate in audits as directed by the audit lead Scan patient-related documentation and attach to healthcare records Complete opening and closing procedures according to the duty rota Support the prescribing clerk with repeat prescriptions Order and monitor stationery supplies Person SpecificationQualificationsGCSE grade A-C in English and Maths (desirable) ExperienceExperience in primary care is not essential, as full training will be provided Disclosure and Barring Service CheckThis post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975.
