Executive Assistant to CEO / Founder | Growing Floral Artistry & Luxury Events Company | Battersea & Notting Hill, London | £55,000 to £60,000 per annumWe are honoured to be working exclusively with a high-profile luxury floristry brand, celebrated for its visionary floral artistry, world-class events and long-standing reputation for creative excellence. We are searching for an exceptional Executive Assistant, a true strategic partner to a dynamic, entrepreneurial Founder and CEO. This is an opportunity for an experienced EA who will bring balance to a highly creative mind; someone who genuinely cares about the business, goes above and beyond and plays an integral role in its continued success and growth.You will be the calm, organised anchor to the Founder’s creative energy, bringing structure, foresight and meticulous attention to detail to every aspect of the Founder's world. You will thrive in a fast-paced, ever-changing luxury environment where no two days are the same, working autonomously and confidently.From orchestrating complex diaries and inboxes to building relationships with UHNWI clients, luxury brand partners and trusted suppliers, you will handle it all with warmth, integrity and exceptional emotional intelligence.The working model for this position is 'flexible and hybrid', designed to mirror the CEO and Founder’s schedule. You will be based at the Battersea office, with the option to work from the Sussex home office when required. It’s important to have the awareness and good judgement to know when your presence in the office is essential and when working remotely is appropriate. As the CEO’s trusted eyes and ears, you will bring a thoughtful, common-sense approach to balancing this flexibility with the needs of the business.KEY RESPONSIBILITIES/ROLE REQUIREMENTS:Gatekeeping & Executive Support: Act as a key point of contact for the Founder and wider team. Occasionally make decisions on the Founder’s behalf, ensuring alignment with business priorities.Inbox & Communication Management: Oversee and manage all inboxes, prioritising those of the Founder/CEO and the company. Draft thoughtful responses and reply on behalf of the Founder when appropriate, including across email, LinkedIn, and other platforms, ensuring nothing is missed.Diary & Meeting Coordination:  Manage complex calendars, schedule meetings and calls, prepare relevant materials, set reminders and accommodate last-minute changes. Occasionally take minutes and ensure action points are tracked and followed up.Travel & Event Planning:  Coordinate UK and international travel, including logistics and documentation. Provide ad hoc support for client events and occasionally represent the Founder at external events, building the network on her behalf.Team & Business Operations:  Keep the business organised through team coordination, drafting agendas, capturing accurate meeting notes, tracking actions and maintaining trusted relationships with stakeholders.Project Management & Ad Hoc Support:  Deliver flexible project support across all areas of the business. Be a calm, solutions-focused team player with a “no job too big or small” mindset. Provide occasional support to affiliated projects such as the Wild at Heart Foundation.Finance / Data Admin: Handle business expenses, maintain accurate records, support finance admin in line with GDPR and assist with occasional personal tasks for the Founder.Marketing Activity Support & Social Media: Support the execution of key marketing activities and campaigns. Confidently post on LinkedIn, manage content deadlines, and support the growth of the brand’s online presence.New Business Support & Client Engagement: Play an active role in identifying and researching new business opportunities. Nurture client relationships, attend meetings, take notes and ensure all actions are followed through. Collaborate across teams to support business development initiatives.Process Improvement: Develop and refine internal processes, templates, onboarding materials and company policies - always seeking better ways to work smarter and more efficiently.ESSENTIAL EXPERIENCE:Extensive Executive Assistant experience supporting a C-Suite leader in a high-demand, fast-paced environment where quality and speed go hand in hand, a start-up environment desirableNaturally solutions-focused and calm under pressure, with the confidence to manage changing priorities and handle the unexpected with a steady handHighly organised and proactive, with strong project management, prioritisation and problem-solving skills; comfortable rolling up your sleeves and driving things forwardExceptional communication skills; clear, warm, assertive and adaptable, with the ability to build trust quickly and handle confidential information with absolute discretionTechnically confident and curious about integrating AI in the day to day, with advanced Microsoft Office skills (Word, PowerPoint, Excel), Canva, G-Suite proficiency and a talent for producing polished, high-quality documents and presentationsWarm, dependable and perceptive, able to read a room and adapt your style to suit a wide range of stakeholders, from UHNWI clients to trusted suppliersPACKAGE:£55,000 to £60,000 per annum, depending on experience24 days annual holiday plus UK bank holidays, and one day off for your birthdayPension contribution Bonus scheme to be discussedStrategic PA Network membership and internal learning opportunitiesThis is a Level 4 role on the Global Skills MatrixYOUR APPLICATION IS IMPORTANT TO US, THANK YOU IN ADVANCE FOR APPLYING:It is part of our ethos to ensure we respond to every application individually whether successful or otherwise.
